The purpose of the position is to provide and manage the full range of administrative functions for the Financial Manager at the Veterans Administration Caribbean Healthcare System (VACHS) located in Puerto Rico.
Duties
Duties include but are not limited to:
Providing telephone and receptionist services
Maintaining records of leave and attendance
Requisitioning office supplies, repairs on office equipment, and printing services
Filing material and maintaining office filing systems
Performing typing, stenographic, or transcribing duties
Review publications for information dealing with the Service
Maintain and control records of incoming correspondence
Plans and coordinates a variety of general office support services in support of the work of the organization
Receiving and reviewing outgoing correspondence, reports, etc.
Work Schedule: Monday thru Friday 08:00am - 4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/14/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Proficiency Requirements: Applicants for these positions must show possession of the following skills, as appropriate. Applicants may meet these requirements by presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years.
Typing speed must be at least 40 WPM.
Dictation speed must be 80 words per minute.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Receiving telephone calls and visitors; Scheduling appointments; Maintaining calendar activities; Preparing correspondence, reports, and other documents based on information gathered from program files or other records; Typing memorandums, letters, reports, roster, mailing lists and other general office material, including confidential matters; Timekeeping; Taking shorthand and transcribing dictation in Spanish and English; Ordering and maintaining supplies, and equipment for the service; Transcribing materials from voice recordings; Using proper grammar, spelling, capitalization, punctuation, and commonly used specialized terminology to prepare written material correctly; Meeting coordination; Utilizing computer technology.

Physical Requirements: The work is primarily sedentary. The work requires sitting, walking, standing, bending and carrying light items such as books, binders, papers, dictaphones and files. When required, the incumbent moves to conference rooms.
