The Program Support Assistant serves as a core member of the Tampa VA Healthcare System Caregiver Support Program and performs duties necessary for the Program of Comprehensive Assistance for Family Caregivers (PCAFC).

Duties

This individual will be required to be responsible for administrative services related to the health care within the service and the Medical Center. Duties include, but are not limited to: Coordinating and implementing a comprehensive outreach initiative designed to facilitate the delivery of services to caregivers and their Veterans at their respective locations. Providing resources and referrals to Veterans and caregivers, who are seeking caregiver support services, regarding program services, concerns, appeals of decisions and ratings. Monitoring and evaluating caregiver activities (utilization of referrals/resources, trainings, appointments with the Veteran, caregiver strain, etc.), assessments, and enrollment processes and making recommendations for improvements for the Caregiver Support Programs. Collaborating with internal and external organizations across the rural spread of the catchment area to assist with providing education and consultation to community partners and stakeholders. Locating, organizing, developing, and reporting on all data for performance measures and reports this data to the care team weekly, and to the Caregiver Support Coordinators in completing required administrative tasks such as quarterly reports which are presented to VAMC Leadership or the VISN offices. Assisting with maintaining CARMA database for each Veteran/caregiver. Performing administrative duties to facilitate treatment and services for Veterans. Performing telephone triage and brief assessment - assisting Veterans, families, medical center staff, and community agency personnel who are seeking Caregiver Support services. Accepting telephone calls from Caregiver Support staff in the field, other VA staff, and/or community agency staff, regarding program inquiries, program concerns, etc. Preparing files and charts in a timely manner, ensuring that all relevant correspondences and clinical material pertinent to CSP are in place. Developing and maintaining local CSP MS Teams Tracking Software, SharePoint, and other CSP program folders in accordance with the records retention policy. Designing and maintaining a tracking system for the Caregiver Support Respite Program expenditures and referrals. Preparing yearly funding requests. Ensuring local program is compliant with funding updates/changes. Working collaboratively as a member of an interprofessional clinical team that submits Veteran and caregiver PCAFC application packages to the VISN for clinical eligibility determinations. Work Schedule: Monday - Friday, 8:00 am - 4:30 pm Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/14/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Performing clerical, administrative, and technical program support work for the program. Communicating effectively both verbally and in writing with individuals from a variety of backgrounds. Typing a variety of documents into final form, ensuring correct grammar, spelling, punctuation, format, and style. Planning, organizing, and establishing priorities while meeting time constraints. Utilizing a range of software applications (i.e., Word, Excel, Outlook, etc.) to prepare correspondence. Utilizing a computer and applications to extract pertinent data and prepare a variety of reports. You will be rated on the following Competencies for this position: ClericalCommunicationsComputer SkillsManages and Organizes Information Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary and is performed by sitting, standing, bending, and stooping. The employee is required to obtain records from files, and carry files, manuals, and other light objects. Occasional travel is required to provide support at conferences, workgroups, programs, or meetings.
