This position, located at the Oklahoma City VA HCS Surgery Service, is responsible for administrative inpatient sections of Surgery service such SICU and inpatient admissions after surgery to be seen by surgical providers.
Duties
Major duties of this position include but not limited to...
Responsible for operational support and efficiency of the General, Vascular, Neurosurgery Ophthalmology, Orthopedic, Otorhinolaryngology, Plastic, Cardio-Thoracic, SICU and Urology Sections as directed by the AO and Section Chiefs
Relays information between staff and the patient to further care in an expedited and autonomous manner. Incumbent will follow up on matters and inquiries with little or no guidance from supervisors except in the most specific or highly complex issues requiring support
Monitors and identifies both VA and University schedules for any discrepancies of call coverage, patient care matters on a weekly basis; remedies any day-to-day identified issues with independent judgment except in most highly complex situations requiring supervisor approval
Coordinates and makes decisions for continuum of care through coordination with Ambulatory Care, Medicine Service, and all specialty services within Surgery including, General, Vascular, Neurosurgery Ophthalmology, Orthopedic, Otorhinolaryngology, Plastic, Cardio-Thoracic, SICU and Urology
Advises supervisor and section leadership of agreements and immediate concerns between all sections within the medical center that require immediate attention for continuation of care
Prepares technical documents and performs problem solving on systems to the extent of knowledge during program failure which may include improper tied results to the system, troubleshooting of system malfunctions regarding results that will not connect to the CPRS system
Uses computerized systems to rectify, correct, and remedy ongoing connection problems to ensure timely care is provided to patients through clinical and provider staff
Responds to Customer Service inquiries and responses (PATS/MEDALIA) daily; exercises a considerable amount of independent judgement, refers patients and staff to appropriate associates for consults, routine and specialty care items, etc.
Provides daily program and administrative support within the service by gathering documents, reports, statistics, information, and data to create concise reports for use by supervisors
Reviews reports for accuracy and physician signature; prepares requests for clinical documentation as needed by patients and other health care institutions complying with OKC VAMC release of information policy
Makes administrative decisions about encounters, consult and clinic utilization to improve the overall flow and operational effectiveness for the services supported
Directs supervisors and other clinical personnel of any immediate concerns that may arise daily and uses independent judgment to prioritize any matters that should be brought to the attention of section leadership
Uses analytical evaluative techniques to address productivity, clinic utilization/flow, consult and encounters at the individual physician, sub-specialty, and service level
Serves on various committees of the medical center and is the subject matter expert for the various surgery specialty sections for weekly or monthly meetings
Seeks out all opportunities to identify and improve administrative and clinical activities and works cooperatively with the Supervisory Staffing Specialist to implement initiatives

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/11/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.
For a GS-07 position you must have served 52 weeks at the GS-06 level. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade of GS-06 in the normal line of progression for the occupation in the organization.
Examples of specialized experience would typically include, but are not limited to...a comprehensive knowledge of all programs within Surgery Service General, Vascular, Neurosurgery Ophthalmology, Orthopedic, Otorhinolaryngology, Plastic, Cardio-Thoracic, SICU and Urology Sections Sections as they relate to facility operations, the VA, and broad healthcare trends; thorough knowledge and ability to train others in areas related to staffing, planning, academics, research, timekeeping, and data analysis/collection; practical knowledge, developed through increasingly difficult, on-the-job training or experience dealing with the operations, regulations, principles, and peculiarities of the assigned program, function, or activity; a broad understanding of the clinic functions and detailed knowledge of all section clinic grids, schedules, and functions; knowledgeable of the various duties of the associates in the General, Vascular, Neurosurgery Ophthalmology, Orthopedic, Otorhinolaryngology, Plastic, Cardio- Thoracic, SICU and Urology Sections Sections to give assistance when necessary; knowledge of Medical Center, Section, and Service policies and procedures that maintain proper flow of services and clinics; advanced knowledge of the VA policies and directives, management theories and principals including administrative practices and procedures to effectively collaborate with physicians/medical staff, managers, administrators, VISN staff and internal and external stakeholders to gather information/data; advanced knowledge of the functions provided by the services as they relate to other departments of the VAMC and the University of Oklahoma Health Sciences Center and procedures required to execute those functions; higher than average skill knowledge of medical terminology necessary in the preparation of correspondence, articles submitted for publication in medical journals, and preparation of manuscripts and research grants; knowledge of VistA software packages, commercial of the shelf packages, and 3rd class software used in support of office operations and strategic planning; knowledge of VA policies, procedures, rules, and regulations as they apply to the area of responsibility noted above; expert knowledge of communication and interpersonal relations, including the ability to appropriately and courteously relate to internal and external customers; and requires knowledge of the time keeping program and system.

Physical Requirements: Most work performed is in an office setting with some standing, bending, stooping, walking, and carrying of light items to different areas of the medical center and health science campus; carries lightweight items normally weighing more than 25 lbs.
