Incumbents will serve as Program Support Assistant for the Department of Veterans Affairs (VA), VISN 19, Oklahoma City Health Care System, Social Work Services, and the Chief of Social Works Office.
Duties
Major duties and responsibilities include but not limited to:
Greets, schedules, organizes, and executes interactive meetings with staff, Veterans, public-at-large, and community leaders.
Serves as the Point of Contact for patient inquiries, complaints, and problems with HUDVASH program. Communicates and answers inquiries, counsels patients on VA and Service guidelines and procedures.
Receives visitors and telephone inquiries, interprets and determines actions for incoming correspondence, ascertains nature of correspondence or inquiry and renders appropriate disposition.
Knowledge of filing, typing, entering data, maintaining records, and using and completing forms.
Prepares, executes and tracks reporting requirements and actions; transcribes letters, committee minutes, and policy statements.
Produces reports, generates letters and graphs utilizing Microsoft Programs such as Word, PowerPoint, Excel and Access.
Ability to collect, compile and track data and statistical information in support of the HUDVASH program.
Knowledge of an extensive body of regulations, rules, procedures, and practices; conducts factual analysis of various programs, reports on problem areas, trends and recommends resolutions.
Serves as Records Control Officer for the HUD-VASH Program providing guidance to all staff in the maintenance and disposition of records.
The incumbent will be the primary contact for routine program and administrative matters and will assist in the overseeing of programs within the HUD-VASH section of the Homeless program.
The incumbent uses initiative in carrying out work assignments independently without specific supervisory instructions.
Prioritizes pertinent issues and collects relevant information from a variety of clinical, administrative and organizational data sources.
Incumbent is involved on-the-job team problem solving, developing, implementing, and evaluating improvements to work processes.
Analyzes and maintains data base information used for HUD-VASH program development and planning.
Incumbent must be aware of and exercise computer security measures in the daily performance of duties. Incumbent protects the integrity of the information at all times.
Work Schedule: M-F 8:00 a.m. - 4:30 p.m.

Physical Requirements: The work is primarily sedentary. Typically, the employee sits comfortably to do the work; however, there may be some walking, standing, bending, carrying of light items (books, papers, files, etc.), or driving an automobile. GS-7 grade level: One year of specialized experience (equivalent to the GS-6 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes but is not limited to: Preparing memoranda, letters, policies, procedures, and a wide variety of reports through Microsoft Word, Excel, Access, and PowerPoint; collection, compilation, and tracking of data and statistical information; transcribing of letters, committee minutes, and policy statement; analyzing and maintaining data used for the Housing and Urban Development-Veterans Affairs Supportive Housing (HUD-VASH) program development and planning; answering inquires on actives based on knowledge of HUD-VASH functions; and counseling patients regarding VA guidelines and procedures.
There is no educational substitution for the GS-7 level.
