The Administrative Assistant for Mental Health (MH) Service provides administrative support to the ACOS, MHS; MH supervisors; and MH staff. The Administrative Assistant performs a variety of clerical, administrative, and technical duties/responsibilities in support of management with the intent of accomplishing the administrative requirements of MH Service.

Duties

Coordinates the onboarding process with Human Resource Management Service (HRMS) for new employees, residents, interns, students, and Without Compensation (WOC) employees, to include preparation of documentation for various identification cards and badges, computer access menus, and meeting other requirements of HRMS and Education Service for onboarding new employees. Responsible for maintaining knowledge of VISTA menu items and the VISTA menu items appropriate for MHS employees in various positions. Responsible for assisting MH supervisors in employee quarterly VISTA menu reviews. Coordinating with HRMS any personnel actions needing to be generated including but not limited to separations, promotions, suspensions, leave without pay, return to duty, etc. Maintains a detailed knowledge of the requirements for filing legal holds (Legal 2000) with Washoe County. Prepares all documents required for legal holds; obtains required signatures, and files legal hold forms with the Washoe County Second Judicial District Court, per instructions. Responsible for receiving information for the monthly Psychiatry call schedule, along with information on the MH Consultation and Liaison staff and Mental Health Unit psychiatrist, compiling it into a spreadsheet, and sending it out monthly to VASNHCS staff involved. Prepares travel requests for travel and prepares memos for MHS employee education requests, which do not require travel. Serves as primary timekeeper for all Mental Health Service T&Ls. Validates time and attendance for all MHS employees and enters associated data into the appropriate tracking system. Receives notification from MHS supervisors regarding approved future leave requests for MHS clinicians and clinics which need to be blocked to accommodate that leave. Maintains knowledge of VISTA function used to cancel and restore clinic time. Work Schedule: Monday - Friday 6:00am - 2:30pm Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process. To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/30/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Ability to manage multiple projects, programs, and activities. - Skill in data management and analysis to determine organizational performance. - Knowledge of PC software programs such as Microsoft Word, Excel, PowerPoint, Publisher, Visio, Access, Outlook, and SharePoint to carry out clerical and administrative duties. - Ability to understand filing requirements for Legal 2000 and meet filing deadlines. - Ability to provide training and consultative services related to process improvement and organizational performance. - Skill in word processing, spreadsheet development, and presentation design to compose a variety of reports. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is mostly sedentary. Occasionally, light physical effort may be required, such as that involved with walking, stair climbing, and carrying of light office items.
