The position is located within the Geriatric and Extended Care Services at the Thomas E. Creek Veteran Health Care System (AMAVAHCS). This position provides administrative support to the programs and requires working with a diverse group of professionals, network/VISN, and national administrative staff.

Duties

Administrative/Management Support: Provides administrative, clerical, program, and technical assistance in the areas of day-to-day operations and program planning/evaluation to assist staff with understanding and following processes, regulations, and SOPs for the GEC Program/s. Proficiency with Microsoft Office to create, modify, print reports, spreadsheets, graphic presentations, and correspondence. Establishes and continually reviews and updates complex administrative procedures that affect the orderly and efficient flow of work for both internal and external stakeholders. Helps maintain Handbooks (provided to Veterans upon evaluation/admission to GEC Programs) including updates/changes to documents in the handbook, reproduction of the contents, and assembly of the handbook so they are available to providers for use for the Veterans. Serves as the Records Liaison and ensures competency folders are updated with current information and forms. Data Collection & Tracking Support: Responsible for admission paperwork and tracking including data input into VISTA, communication with Patient Centered Management Module (PCMM) coordinators as needed to ensure assignment of Veterans to appropriate Provider, documentation of priority level and use of oxygen in the home in the event of an emergency situation in which Veterans and families may need to be contacted. Maintains internal databases to record, maintain, track, and report data. Performs work involving collection, compilation, and/or tracking of data and statistical information in support of GEC Services and supporting programs as requested. Maintains patient data in support of program activities both within and outside the VA. Sends reports and correspondence to necessary stakeholders as requested. Research/Program Resource Services and Support:Manage and maintain information related to patient risk/priority status and assist with quick execution of emergency response if a weather event or community situation. Performs specialized duties such as Hand hygiene compliance champion with responsibility to work with Environmental Management Service and Quality, Safety, Value to report out and receive reports from related to hand hygiene compliance of GEC service and the facility. Educates staff on rational for hand hygiene compliance observation and tracks compliance reported by team members Manages original reports and makes recommendations to leadership as part of a member of the process improvement team. Educates staff and facilitates opportunities for patient education. Assembles and summarizes data, background information and other materials from publications and other sources. Other duties as assigned. Work Schedule: 8:00am-4:30pm, Monday-Friday Position Description Title/PD#: Program Support Assistant/PD003930 Physical Requirements: The work is sedentary. The employee sits comfortably to do the work assignments. At times, there may be some walking, standing, bending, carrying of light items, e.g., papers, books, files, etc. No special physical demands are required to perform the work. May occasionally be asked to assist with Motorpool pickups/drop offs but driving a government owned vehicle is not part of routine work. Incumbent must have an even temperament and act in a professional manner during work performance.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: administrative, clerical, program, and technical assistance in day to day operations, triaging inquiries from patients, caregivers, and other agencies and VA staff concerning the program and/or Veterans enrolled in a GEC program, coordinating all administrative patient data reports, and ensure quality of monthly reports. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
