This position belongs to Nursing Service: Mental Health and Behavioral Science Services (MH&BSS). The primary purpose of this position is to serve as Administrative Support Assistant (OA) to the Chief Nurse, MH&BSS. This position will be under the direct administrative supervision of the Nurse Managers in the Outpatient Clinic. This position will be highly involved with varying processes and functions to support the Chief Nurse and Nurse Managers in managing multiple departments and programs

Duties

Major duties include but are not limited to: Provides Administrative Support to the Nursing MH&BSS department. Maintains data in electronic files, plans, records and other forms. Use of Microsoft Word, Microsoft Excel, AcuStaf, VATAS, VISTA, Microsoft Outlook, and Sharepoint. Types, reviews and revises documents and maintains file copies of all correspondence, reports, letters, meetings, and conferences. Review outgoing correspondence for grammatical accuracy, format, attachments, etc. Establishes and maintains files and filing systems. Greets visitors, answers phones, responds to general inquiries and provides guidance, information and/or directions to office staff. Provides and/or schedules in-service training on performance measures (i.e., SAIL), clinicalreminders, mental health screenings, encounters, etc. Timekeeping: The incumbent will serve as a timekeeper for the sections. The ASA will post employee timecards for their assigned T&L daily. In doing so, the ASA will consult with Supervisors and Payroll Office for time card issues and will interpret current VA manuals and medical center memoranda. Incumbent will notify the supervisor in the event he/she is out, and timecards require action or certification. Incumbent may be a PIV sponsor, request access to buildings, place a key request for new employees, ADPAC duties (folder access, additional menus/keys, consults access, OIT tickets, troubleshooting technical issues), CARF support for competency folders, build/modify and education on clinical grids, and train/education on encounter coding, SAIL measures, clinical reminders, screenings, etc. Work Schedule: 7:30am- 4:00pm, Monday - Friday Position Description Title/PD#: Administrative Support Assistant (OA)/PD06555A Physical Requirements: The workload is varied and requires some extended periods of standing, reaching, bending, stretching, walking, and carrying light loads of supplies and light items, such as papers; books; or small parts; or driving an automobile. Eyestrain is not uncommon since a great deal of time is spent inputting data into the computer. Work involves extensive use of the computer/keyboard.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: gather data from multiple databases to complete daily, weekly, monthly, quarterly, and annual reports; assists with budget preparation and reporting to meet program requirements; accepts telephone calls from multiple sources regarding program inquires and patient concerns; establishes, updates, and maintains office procedures and records of various types that may be needed or will assist in the efficient operation of the office. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed 4 years above high school in any field for which high school graduation or the equivalent is the normal prerequisite. This education was obtained in an accredited business, secretarial or technical school, junior college, college or university. If you are qualifying on education, transcripts are required. (Transcript Required). OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond high school. Education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. (Transcript Required). Typing Proficiency: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
