The Administrative Support Assistant serves as a liaison for the Behavioral Health Service (BHS), functioning within the guidelines, priorities, instructions, and limitations as outlined by the policies and operating procedures for the service and its various components, performing a variety of management services and administrative support, budgetary analysis, and clerical support. The Assistant also coordinates, analyzes, understands, and operationalizes the daily activities of the service.
Duties
Maintains extensive knowledge of pertinent rules, procedures, operations, policies, and business practices and have maintain an acute attention to detail to respond to numerous requests for information concerning the medical center as related to the Behavioral Health Service (BHS).
Develops a management workflow system to keep track of tasks, deadlines, products, etc., to ensure the service runs smoothly and is able to support the multiple, varying requests, events, products and needs of the BHS.
Reviews BHS and medical center policies and routes through approval channels.
Coordinates administrative and budget affairs with Supervisor and designated management in the BHS.
Compiles complex and varied statistical and general information from automated, printed, and verbal information to prepare reports and budget submissions.
Completes monthly, quarterly, and annual reports as assigned.
Assists the ACOS and designated leadership to prepare correspondence in connection with administrative and some BHS phases of the work.
Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication.
Composes and edits letters, and reports; reviews correspondence for accuracy and completeness, and develops standard or form letters and replies to inquiries.
Assists the chief in organizing the administrative details involved in the operation of the Service.
Assists with travel and training logistics for Service employees.
Provides public contact support services such as answering the telephone, referring visitors, or providing information about the office, the healthcare system, its functions, and standard operating procedures.
Work Schedule: Full-Time, Monday through Friday, 7:30AM - 4:00PM - Subject to change based upon facility needs.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement.
GS-7 grade level: One year of specialized experience, equivalent to the GS-6 grade level in the federal service; experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes:
Expert skill in computer software, Microsoft Office Suite, and the use of Vista Operating System and its various functions.
Advise and instructs subordinate offices concerning the management and administrative procedures.
Functions as the principal liaison to assist with internal and external customers in answering calls, handling visitors, and accomplishing the mission.
Inputs personnel notifications.
Maintains administrative continuity of the administrative and technical mission, organization, and work processes and sufficiently to plan and conduct medical facility program reviews and analysis and formulate study reports and recommendations.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: Work is generally performed in an office setting or in meetings. Employee may periodically need to travel to other locations for meetings and events and meet with subject matter experts to maintain personal contacts with various staff and coordinating actions.

NOTE: Participation in the seasonal influenza program is a condition of employment and a requirement for all Department of Veterans Affairs Health Care Personnel (HCP). It is a requirement that all HCP to receive annual seasonal influenza vaccination or obtain an exemption for medical or religious reasons. Wearing a face mask is required when an exemption to the influenza vaccination has been granted. HCP in violation of this directive may face disciplinary action up to and including removal from federal service. HCP are individuals who, during the influenza season, work in VHA locations or who come into contact with VA patients or other HCP as part of their duties. VHA locations include, but are not limited to, VA hospitals and associated clinics, community living centers (CLCs), community-based outpatient clinics (CBOCs), domiciliary units, Vet centers and VA-leased medical facilities. HCP include all VA licensed and unlicensed, clinical and administrative, remote and onsite, paid and without compensation, full- and part-time employees, intermittent employees, fee basis employees, VA contractors, researchers, volunteers and health professions trainees (HPTs) who are expected to perform any or all of their work at these facilities. HPTs may be paid or unpaid and include residents, interns, fellows and students. HCP also includes VHA personnel providing home-based care to Veterans and drivers and other personnel whose duties put them in contact with patients outside VA medical facilities.
