This position will be assigned under Acute Care Service at the Northern Arizona VA Healthcare System (NAVAHCS), in Prescott, Arizona. The person in this position serves as an Administrative Support Assistant, providing a wide variety of administrative, clerical, and technical support.
Duties
The position serves as the Administrative Support Assistant (ASA) for the Acute Care Service Line, which includes the Medicine Unit, Telemetry Unit, Emergency Department, Respiratory Therapy Department, lntermittent Float Pool, and Nurses on Duty. Incumbent is responsible for daily operation of the Acute Care Service Line by providing both technical and administrative support to effectively accomplish workloads and ensure efficient and effective operations of a diversified and complex organization as assigned by the Associate Chief Nurse of Operations. Duties include, but are not limited to:
Prepares a wide variety of recurring and nonrecurring correspondence, reports, and other documents.
Keeps/types meeting minutes, agendas and reports.
Collects, assembles, and compiles data for administrative and management reports.
Provides general clerical mail and correspondence services.
Composes, edits and review letters and reports for accuracy and completeness.
Schedules appointments, coordinates meetings, and/or schedules conferences.
Provides clerical guidance and training.
Screens calls and personally answers calls when the requested information concerns routine and procedural requirements.
Advises and reminds supervisor/staff members of subject matter prior to meetings.
Compiles data and statistical information.
Reviews and processes documents and reports.
Establishes and maintains office files and records.
Tracks program specific information.
Performs administrative duties such as timekeeping.
Organizes data into Access databases or spreadsheet formats.
Performs database file searches.
Uses word processing applications to perform office automation duties.
Uses spreadsheet software to organize and present data.
Uses electronic health record system to access and review data.
Perform other assigned duties as assigned.
Work Schedule: Monday - Friday; 7:30 am to 4:00 pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/10/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.

In order to qualify for this position at the GS-6 level, you must meet the following:
Specialized Experience: One (1) full year of specialized experience that equipped you with the knowledge, skills, and abilities to successfully perform the duties of a Administrative Support Assistant at the developmental level, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-5) in the Federal service. Specialized experience is experience where you were responsible for providing administrative support; collecting, compiling and tracking data and information; processing documents and reports; establishing, updating and maintaining office files and records; performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; answering telephones, referring visitors, and providing information. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work area is usually an adequately lighted, heated and ventilated office of medical facility setting. The work environment involves everyday risks or discomforts that require normal safety precautions. The work is mainly sedentary but may require some walking, standing, bending, carrying and/or lifting of light items like papers or books. The work requires light to moderate levels/times performing keyboarding to prepare correspondence.
