The Orlando VHS - Chief of Staff (COS), is recruiting to fill a Program Support Assistant (PSA) vacancy. The position functions as PSA with the Group Practice Management (GPM) Service under the COS. The employee will provide administrative support to the GPM where they will collaborate with the Associate Group Practice Manager(s) and Program Analyst(s) to improve access to care for veterans across all sites of care.

Duties

The position will assist with Human Resource processes including but not limited to coordination of interviews, gathering scores and creating packets to submit to HR for recruitment. Consistently communicates and treats customers (patients, visitors, volunteers, and all Medical Center staff) in a courteous, tactful, and respectful manner. Provides the customer with consistent information according to established policies and procedures. Handles conflict and problems in dealing with the customer constructively and appropriately. Assist in the management of SharePoint processes within the service. He/She will create SharePoint forms to help gather information for tracking and implementation of new processes. The position will update SharePoint list, calendars, action trackers and help manage/troubleshoot workflows for established and new processes The positions will assist the AO to ensure clinic areas are compliant according to established standards and guidelines The Position will identify work orders that needed to be entered for the assigned area. The position will enter request, track, and follow up on Maximo request to ensure FMS completes work orders in a timely manner. The incumbent will be the administrative support for the section/program assigned including but not limited to drafting up memo's, action item's, congressional, Committee support (minutes, agendas, reports) according to medical center guidelines. The Position will complete access reviews for the section/area to ensure employee have appropriate menus/key for their positions and identify ones that need to be removed. The incumbent will assist with the completion of access request/profile set up request for all new employees and current employees The Incumbent will independently pull data from established reports created by Program Analyst, Central Office Programs, RAMP and Group Practice Management (GPM) office utilizing VSSC, SQL, Pyramid and other software. The incumbent will support Grid Validation, Annual Review and Practice Management/efficiencies and will work with the Administrative officer, GPM, Program Analyst, Section/Program leadership with completing daily/weekly/monthly/biannual independent reviews for operations The incumbent will manipulate data to show relative data to the assigned area to easily identify areas of improvement. The incumbent will develop Pivot tables, Excel tracking, templates to help present data to their targeted audience. The position will coordinate and develop action plans for the assigned area in collaboration with multi-disciplinary team. The position will develop SMART goals with the teams and identify targets, due date and tracking of progress. The position will utilize Process improvement methodology to maximize efficiency within the service. The position will be trained in Six-Sigma at least as a yellow belt. He/She will coordinate forms such as proficiencies, performance pay, incentives, market pay and provider exit forms. . OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 1 full year of graduate level education or superior academic achievement if related. Such education must demonstrate the knowledge, skills, and abilities necessary to do the work. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond .
