The position functions as Administrative Support within Ambulatory Care Service line across 9 sites of care serving 102,000 Veterans. The employee will provide administrative support to the assigned locations/programs in Ambulatory Care across sites of care (Clermont, Deltona, Daytona, Kissimmee, Lake Baldwin, Lake Nona, Palm Bay, Tavares and Viera). The incumbent is responsible to perform administrative functions that help improve operations with their assigned areas.
Duties
Major duties include, but are not limited to:
-Take total responsibility for administrative processes and support at the assigned site/location of assignments.
-Coordinate meetings with various levels of leadership and employees, including completing meeting minutes.
-Act as the timekeeper and liaison to Payroll for employees and assist in resolving issues.
-Assist with Human Resource processes, including coordinating interviews, gathering scores, and creating packets to submit to HR for review.
-Manage SharePoint processes in tracking and implementing new processes, update lists, calendars, action trackers and troubleshoot workflows.
-Act as the records management liaison, responsible for developing file plans, record disposition, file audits, and ensure compliance with records management policy.
-Provide administrative support for assigned sections and programs, including drafting memos, action items, and providing support for committee meetings.
-Manage official correspondence tracking, ensure follow-up actions and timely responses, schedule meeting rooms, manage databases, handle interoffice and cross-facility incoming and outgoing mail distribution, and coordinate mailroom activities.
-Provide knowledge and guidance in support to the Ambulatory Care team by addressing processes affecting patient care and interpreting concerns from Veteran stakeholders.
-Work in collaboration with other services to achieving mutual goals of improving the Ambulatory Care operations and standards.
Qualifications
To qualify for this position at the GS-6 level, applicants must meet the following:
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.
~AND~
Specialized Experience: You have at least one (1) full year of specialized experience that equipped you with the knowledge, skills, and abilities to successfully perform the duties the Program Support Assistant at the full performance level (GS-6), and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-5) in the Federal service. Specialized experience is experience where you were responsible for providing administrative support; collecting, compiling and tracking data and information; processing documents and reports; establishing, updating and maintaining office files and records; performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; answering telephones, referring visitors, and providing information.
