The Administrative Support Assistant reports to the Section Chief of Activations and also functions under the general direction of the Associate Director of Operations. Proficient and broad knowledge with government-wide, agency, and facility systems and requirements in various administrative areas such as budget, personnel, and procurement in order to assist the Activations Section Chief with the day-to-day operations, systems, and programs of the facility.
Duties
Include but are not limited to:
Provides staff support to Chief of Activations, developing meeting agendas, coordinating committee assignments, developing background information and monitoring progress of the section.
Prepares all reports and correspondence associated with the project(s).
Working with clinical and administrative staff and stakeholders in search of novel solutions and problem resolutions.
Plan, organize, and direct team study work and to negotiate effectively with management to accept and implement recommendations.
Prepares and presents reports, proposals, and recommendations utilizing appropriate
presentation techniques, graphs, charts, timelines, etc.
Possesses proficient analytical skills to apply a wide range of qualitative and quantitative methods for the improvement of complex management processes and systems.
Expertise in communication, both orally and in writing to convey highly technical information to non-technical audiences, Executive Leadership, and stakeholders.
Utilizing information management and office automation systems such as ARC, DSS, Pyramid Analytics, Power BI, etc. to develop of monitoring and tracking systems and be independent to pull data for further analysis.
Contributes to the development and maintenance of Facility Master Space Plan which consolidates patient care and administrative services to ensure optimal customer service delivery and staff efficiencies.
Collaborates with the Corporate Capital/Facility Planner in all areas related to capital investments and capital strategic planning.
Develops and implements management information monitors for tracking of construction project statuses, equipment purchases, FTEE requests and approvals, budgetary information, and components of day-to-day operations.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/16/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.
For a GS-07 position you must have served 52 weeks at the GS-06.
The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Preferred Experience: Knowledge of health care systems and delivery mechanisms to assist in development of construction project requirements; Knowledge in data collection and analysis; Knowledge of accounting and budget allocations.
Minimum Qualification Requirement:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Develops written communication for Chief of Activations, correspondence, action plans, and articles for publication, position/option papers, policy statements and reports. Developing meeting agendas, coordinating committee assignments, developing background information and monitoring progress of the section. Plans studies, prepares programs and organizational strategies for identifying opportunities to improve access and efficiency related to Activations. Prepares and presents reports, proposals, and recommendations utilizing appropriate presentation techniques, graphs, charts, and timelines.

Physical Requirements: The work is primarily sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items such as papers, books, small parts or equipment. No special physical demands are required to perform the work.
