Serves as Program Support Assistant to the Office of the Chief, Voluntary Service. Incumbent is responsible for providing secretarial and program support for all of the functions within the VA Voluntary Service (VAVS) program. Voluntary Service is a complex work unit, which routinely requires extensive coordination and communication outside this Medical Center including VA Central Office, Veteran Service Organizations, businesses, schools, and other community organizations.
Duties
As a Program Support Assistant, GS-0303-05 you will be responsible for performing the following duties:
Leads as a Volunteer Onboarding Coordinator working and collaborating with programs and services such as the CLC, Home Based Primary Care, Social Work Services, Caregiver's Support and others to establish facility wide protocol for volunteering.
Assists with initial set up of Virtual Volunteer Program, to include setting up the devices, acquiring the preferred method of contact between patient and family member, scheduling the call, assistance with connection, retrieving loaned device from patient and documenting call took place.
Responsible for setting up the tracking and data collection of the Virtual Volunteer program, coordination with the different services utilizing the program, active spread of additional opportunities to include involving Volunteers and community groups with virtual visits, group led activities and programs with interested Veterans.
Coordinates support aspects of special event programs as assigned by the Chief. Different special event programs have varying program support requirements that change with each year and each event.
Scheduling rooms/meeting space; arranging for/receiving deliveries; placing purchase orders through GPF; arranging for Medical Media services; etc.
Assists Specialist with orientation packets, and schedule of room or online meeting to conduct Volunteer Orientations.
Conducts volunteer orientations as necessary in absence of the Specialist and the Chief, Voluntary Service.
Assists with data entry in the VSS Volunteer Timekeeping System, this includes regular and occasional volunteer hours of hand-written logs, changes of volunteer personal information and awards.
Assists in the preparation for volunteer awards banquets/programs.
Provides support for all annual VAVS special events mandated by VACO such as the National Salute to Veteran Patients, Caregiver Support Event, Welcome Home, Annual Volunteer Awards program, National Volunteer Appreciation Month, etc.
Work Schedule: Tour of Duty Dependent Site: Viera, Daytona Beach, Lake Nona 8:00am-4:30pm / Lake Baldwin 7:30am-4:00pm

Physical Requirements: Although the work in most respects is sedentary, the duties of the position do require occasional standing, walking throughout the facility, bending, pushing a small cart, and occasional light to moderate lifting. The work involves sitting at a desk, and sitting in meetings, carrying light to moderate weighty items, and possibly driving an automobile for occasional errands involving various programs. Work is primarily performed in an office.

GS-05 grade level: One year of specialized experience (equivalent to the GS-04 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Working with customers/staff to coordinate work orders, access their needs, provide information and assistance, resolve problems and/or satisfy their expectations; Using computer programs to communicate and distribute information to various groups through emails, word, spreadsheets.

Applicants may substitute education for the experience required for the GS-05 level: To qualify based on education for this grade level you must have 4 years above high school.
OR
Applicants may also combine education and experience to qualify at the GS-05 level. To calculate, first identify the percentage of required education you have earned (when substituting, you cannot use the first 60 semester hours that you earned). Then identify the percentage of required experience you possess. Add the two percentages. The total percentage must equal at least 100 percent to qualify at the GS-05. For example, an applicant who has 9 semester hours of graduate level education (i.e. 50% of graduate education required) and 6 months of creditable specialized experience (i.e. 50% of the required experience) would equal 100% of the required experience for the position A transcript must be submitted with your application if you are basing all or part of your qualifications on education.
