This position is located at the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), VA Medical Center, in the Nutrition and Food Services Department (N&FS) as the Program Support Assistant to the Administrative Officer, Nutrition & Food Service. The primary purpose of this position to provide a wide variety of administrative, clerical, and technical support to Nutrition and Food Service.
Duties
MAJOR DUTIES:
Program Support (50%)
Performs work involving the collection, compilation, and /or tracking of data and statistical information in support of the NFS program operation.
Prepares a wide variety of recurring and nonrecurring correspondence, reports, and other documents.
Establishes, updates, and maintains office files and records.
Performs office automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database, and/or graphics.
Serves as the primary ADPAC and TMS Administrator for NFS.
Clerical Support (40%)
Schedules appointments, coordinates meetings, and/or arranges conferences.
Assists the Chief, Nutrition and Food Service and other managers in handling all Union and Human Resources correspondence and personnel management documentation.
Provides general clerical mail and correspondence services such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper attachments, or consolidating/coordinating submittals of information.
Places and tracks work orders to completion.
Timekeeping (10%)
Serves as official timekeeper for the site and maintains service record cards for all employees.
Posts employee/contracted personnel time and attendance on a daily basis utilizing VA computerized timekeeping software.
Work Schedule: 8:00am-4:30 pm, Monday- Friday

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/10/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience where you were responsible for providing administrative support; collecting, compiling and tracking data and information; processing documents and reports; establishing, updating and maintaining office files and records; performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; answering telephones, referring visitors, and providing information..
Selective Placement Factor:
Must have at least one year of documents experience in the following area and shown on resume:
Collects, assembles and compiles data for administrative and management reports
Orients and trains others on computer use
Prepare, executes, and/or tracks program specific information
Serves as official timekeeper - notifying employees when leave limits are exceeded, posting staff time and attendance, processing timecards
Performs office automation duties using software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar and/or graphics.

Physical Requirements: The work environment involves everyday risks or discomforts that require normal safety precautions. The position is mostly sedentary and may require some walking, standing, bending, carrying and/or lifting of light items like papers or books. The work requires light to moderate levels/times performing keyboarding to prepare correspondence.
