The incumbent serves as a Program Support Assistant for the Trauma Recovery Program and the Suicide Prevention Program at the Orlando VA Healthcare System (Orlando V ARCS) located in Orlando, FL. The incumbent provides a variety of administrative and clerical functions in support of Mental Health Service leadership but works independently in resolving most conflicts and is able to prioritize deadlines and meet objectives.

Duties

Major duties include but are not limited to: Administrative management Manage and resolve requests for information Organize and plan episodes of care Timekeeping Attending weekly meetings Preparing correspondence and reports Maintaining files Ordering office and medical equipment utilizing procedural guidelines. Tracking data and statistical information to support the Program operations. Responding to requests and preparing responses. Planning, analyzing, evaluating, and making recommendations for improving the efficiency of internal processes. Scheduling conferences, meetings and appointments for the Program. Work Schedule: Monday - Friday; 7:30 a.m. - 4:00 p.m. Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process. Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/03/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS-06) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Responding to requests and preparing typed responses; Tracking data and statistical information; Effectively communicate both orally and in writing; Office and medical equipment acquisition; Placing work orders; Planning, analyzing, evaluating, and making recommendations for improving the efficiency of internal processes; Arranging conferences, meetings and appointments; Maintaining databases for tending in scheduling issues, patient care access, consult management, etc.; Coordinating with internal and external customers; Timekeeping, etc. *In addition to meeting the specialized experience above, applicants must type at a speed of 40 words per minute. *Preferred Experience: Knowledge in a variety of automated systems to compile and track program specific data from a variety of resources. Good clerical/administrative knowledge to assist clinicians in the Service to support with meeting agendas, minutes, and reports. To communicate and implement the necessary performance improvement initiatives and apply findings from the data reports analyzed the incumbent will require the ability to write clearly and concise the applicable documents and reports and must be able to communicate effectively in both written format and verbally. This will require the knowledge flexibility, and experience to interface with individuals at all levels of Mental Health, including clinical and administrative staff. Incumbent is responsible for all matters pertaining to the administrative function of all Mental Health/Suicide Prevention Programs. The purpose of the work is to plan and carry out projects to improve efficiency and productivity of their assigned respective area. Incumbent acts as the point of contact between the team and the medical center. Consequently, this position is critical to maintaining the overall therapeutic values and goals of the Mental Health/Suicide Prevention Programs. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required. The incumbent must be able to adjust to changing workload demands. Work is typically performed in an adequately lighted and climate­-controlled office; however, clients may be hostile at times and exposure to communicable diseases can also be a hazard in this position. The incumbent observes safety standards and practices as defined in current health care systems policy.
