The Management and Program Assistant (Analysis and Office Automation) position is located at the Quality, Safety, Value & High Reliability & Experience Service of the St. Louis VA Healthcare System in St. Louis, MO.
Duties
This position serves as a Management and Program Assistant for Risk Management and is organizationally aligned under the Quality, Safety, Value & High Reliability & Experience Service at the VA St. Louis Healthcare System (VASTLHCS).
As a Management & Program Assistant (Analysis/Office Automation), you will perform the following duties, but not limited to:
Perform work involving the collection, compilation, and/or tracking of data and statistical information in support of Risk Management or Patient Safety Program operations
Conduct broad research and analysis to explore alternatives and concepts.
Advise office personnel on document requirements and formats.
Establish protocols for incoming data, organizes computerized data sets, and retrieves computerized data.
Receive office visitors and telephone calls, determining the identity of the caller and general purpose of the call.
Maintain logs and suspense records on incoming correspondence and follows up to ensure timely action.
Prepare executive and staff level correspondence and non-technical reports in the supervisor's name.
Use various automated systems including word processing, PowerPoint, Excel spreadsheets and other pertinent Microsoft Office 365 software/Programs.
Work Schedule: Monday to Friday; 0730-1600

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/14/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience. You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Operating numerous and wide-ranging computer software programs, such as, VISTA, Microsoft (MS) Word, MS Excel, MS PowerPoint, MS Outlook, and SharePoint maintenance to assist with data collection and program administration, as well as, to collate and manipulate data, conduct analyses, and preparation of minutes of meetings, letters, reports, correspondence with skills in keeping required statistics for accurate reporting; gathering data and information from numerous sources to effectively inform staff of issues requiring their involvement
Working in conjunction with Fiscal Service to perform monthly reconciliations and annual audits using Fund Control Points (FCP) accounting methodology, reconciliation and terminology with the ability to maintain and reconcile FCPs and prepare reports; processing incoming and outgoing materials such as correspondence, gathering data; preparing reports, and making recommendations; Experience with timekeeping duties to include FMLA usage, Overtime, corrections to timecards, etc.

Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required. There iscertain amount of walking, bending, stooping, and lifting approximately 20 pounds
