Duties

You will arrange conference and meeting details (e.g., location, scheduling, agenda, attendance list). You will assist in program sponsored functions (e.g., preparation, set up, award ceremonies, and distribution of awards during and after ceremonies) to help distribute award recognition. You will assist staff with questions and issues related to administrative functions. You will circulate directives, forms, and material to a military and civilian workforce. You will coordinate and provide materials for meeting requirements (e.g., locations, VTC, computer, handouts, special supplies). You will collect information about visiting high-ranking military officials, dignitaries, or civilians (e.g., U.S., foreign) to prepare staff personnel and facilities for their arrival. You will receive and direct phone calls and visitors to appropriate personnel or other offices. You will screen correspondence and statements prepared for signature for content, accuracy, compliance with policies, and completeness of response. You will type a variety of correspondence, reports, records and documents for the command. You will audit travel reimbursement vouchers for accurate expenditure of funds. You will oversee logistical requirements of official activities to accommodate participation of executive personnel. You will maintain a department library for the updating and accuracy of files, new documents, regulations, or statutory requirements.

  • Within the Department of Defense (DoD), the appointment of retired military members within 180 days immediately following retirement date to a civilian position is subject to the provisions of 5 United States Code 3326.

  • You will be required to obtain and maintain an interim and/or final SECRET security clearance prior to entrance on duty. Failure to obtain and maintain the required level of clearance may result in the withdrawal of a job offer or removal.
  • This position is subject to work an uncommon tour, including nights, weekends, and holidays to meet mission requirements. Overtime or night differential pay and/or unusual duty hours may be required.
  • You will be required to obtain and maintain a current valid United States driver?s license.
  • This position may require travel from normal duty station to CONUS and OCONUS and may include remote or isolated sites. You must be able to travel on military and commercial aircraft for extended periods of time.
  • You will be required to complete training, obtain, and maintain a government credit card for travel and travel-related purchases.
  • This position requires the ability to type at least 40 words per minute.

Qualifications

Your resume must also demonstrate at least one year of specialized experience at or equivalent to the GS-06 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Provide administrative guidance and office support to the high level military staff for completing projects and/or operations; maintaining a calendar by scheduling, rescheduling, and coordinating appointments and meetings; procure supplies, equipment, and services in accordance with current regulations; process high volume and diverse travel arrangements, prepare travel orders, and submit timely vouchers; and inform management of changes, updates, or revisions in accordance with procedures; and collaborate with staff in the office, and in other offices, to foster and maintain effective cooperative relationships to complete assignments.
