This position is located at Black Hills VA Medical Center, located in Ft. Mead, SD, within the Environmental Management Service Interior, Design Service Department, as the Program Support Assistant to the EMS Program Manager. The primary purpose of this position to provide a wide variety of administrative, clerical, and technical support to Interior Design.
Duties
Duties may include but are not limited to:
Receives requests for Interior Design, coordinates with Interior Designers in Hot Springs and Fort Meade VAMCs.
Prepares a wide variety of recurring and nonrecurring correspondence, reports, and other documents.
Establishes, updates, and maintains office files and records. Keeps/types meeting minutes, agendas and reports.
Performs office automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database, and/or graphics.
Uses VA software program to access information in the Medical Center computer system.
Serves as the primary ADPAC and TMS Administrator for EMS.
Assures EMS employees are up-to-date and have met all mandatory training.
Orients and trains all EMS employees on computer use.
Acts as a liaison between OI&T, and other services such as Employee Education Services.
Serves as back-up purchase cardholder and Budget Technician.
Receives, schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the vendors working with ID.
Schedules appointments, coordinates meetings, and/or arranges conferences.
Serves as official timekeeper for the site and maintains service record cards for all employees.
Work Schedule: Tuesday-Friday, 6:30am to 5:00pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/18/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: answering and directing phone calls; preparing correspondence and reports; maintaining files/records; collecting, compiling, and tracking data and statistical information; performing automation duties using software applications such as word processing, spreadsheets, electronic mail, desktop publishing, calendar, database and/or graphics; and communicating with a variety of leadership and staff regarding the operations and management of EMS systems.

Physical Requirements: The work area is an adequately lighted, heated and ventilated office of facility a setting. The work environment involves everyday risks or discomforts that require normal safety precautions. The sedentary and may require some walking, standing, bending, carrying and/or lifting of light items like papers or books. The work requires light to moderate levels/times performing keyboarding to prepare correspondence.
