The incumbent serves as the Administrative Support Assistant to the Medicine Service Supervisory Program Analyst. In this role, the incumbent provides technical and program support on all administrative and management functions.
Duties
As the Administrative Support Assistant, you will be responsible for, but not limited to:
Assists management and technical subject matter experts in various subunits with collecting data and metrics that are leveraged within a variety of operational reports that support the section and/or the combined organization's routine needs.
Collects, compiles and/or tracks statistical information in support of program operations and preparing a variety of reports and controlling correspondence.
Gathers qualitative and quantitative data in order to access and/or present information, status, or outcomes in relation to established performance measures, goals, and objectives; receives and processes documents and reports in accordance with established procedures.
Establishes protocols for incoming data, organizes and maintains patient data and retrieves a variety of computerized data.
Locating and selecting the most appropriate guidelines for application and adapting them according to circumstances of the specific case or transaction.
Gathers data collection, maintenance, distribution, and reporting of weekly staff meeting and serves as the primary point of contact for the inter-facility contacts relating to the Medicine Service programs.
Collects information from software applications using a wide variety of sources in order to prepare reports; and assists in the planning, review, and reporting of data/statistical results of program studies.
Creates and edits unique spreadsheets and databases that compile a variety of data regarding assigned subspecialties and studies.
Utilizes statistical data to compile multiple recurring and ad hoc reports(s) for all program staff.
Work Schedule: Monday thru Friday, 7:00 am to 3:30 pm, subject to change based on needs of the facility.

Physical Requirements: The work is normally sedentary but includes some walking, standing, bending, and carrying of light items such as books, papers, and files. There are no special physical demands required to perform the work.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement.
GS-7 grade level: One year of specialized experience (equivalent to the GS-6 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: administrative functions to perform higher-level assignments; drafting research communication materials, emails and reports; communicate factual and procedural information clearly, orally and in writing; and ability to independently plan and carry out assignments in conformance with policies and practices; adhering to instructions, policies, and guidelines; and monitoring a data base.
There is no educational substitution for the GS-7 level.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
