This position is located in the Veterans Health Administration (VHA), at the Northern Arizona VA Health Care System (NAVAHCS), located in Prescott, AZ. The incumbent serves as a Program Support Assistant to the Facilities Management Service Line Business Manager and Project Program Analyst in addition to other assigned staff. The primary responsibility of the position is to perform administrative, technical, and clerical tasks in support the the service line.
Duties
The major duties and responsibilities include but is not limited to:
Providing specialized support to several assigned program areas by independently addressing a wide variety of issues or situations common to the programs or functions supported.
Identifying and studying the relevant elements of each issue, determining interrelationships of data collected, potential courses of action, and wherever possible, determining and executing the most effective solution independently.
Dealing with a variety of highly complex, technical reports such as Compensated Work Therapy (CWT), expenditure trends, purchase and hire costs, project status reports and budget trends independently.
Working closely with contracting staff to put contracts in place and providing contract administration assistance in reviewing billings and maintaining utility contact files for emergency services when needed.
Preparing funding documents to cover obligations for utilities, janitorial services, CWT, and other obligations, in addition to reviewing and certifying invoices for assigned fund control points.
Reviewing and ensuring the accuracy of credit card statements and the appropriate information regarding FCP, cost center and BOC is provided to Fiscal Service.
Reviewing and distributing incoming mail, managing suspense, preparing outgoing mail and office correspondence.
Providing general calendar maintenance, clerical services such as maintaining calendars, recording appointments, arranging for meetings and small conference administrative details.
Work Schedule: Monday thru Friday, 8:00am to 4:30pm
Compressed/Flexible: Available after completing at least 90 days of continuous service.
Telework: May be available on an Ad-Hoc basis, after completing at least 90 days of continuous service

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/23/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to developing and recommending ways to improve the effectiveness, efficiency, and timeliness of work operations; scheduling, coordinating, planning and maintaining various events and calendars for meetings, committees and conferences; utilizing word processing, spreadsheet and database software; performing timekeeping functions for a large group of employees; purchasing, certifying and reconciling office supplies, services and invoices.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required. This includes typing, sitting, standing, bending, and lifting of no more than 25 pounds.
Work Environment: Work typically performed in an adequately lighted and climate controlled office.
