Program Support Assistant provides support activities/general assistance to the Pharmacy-Managed PACT clinic, including: diabetes, hyperlipidemia, hypertension, pain management, etc. Serving as primary point of contact for pharmacy related medical center memorandums/pharmacy policies. Providing clerical assistance to the Pharmacy, with record-keeping & other needs related to clerkship rotations for TX Tech University Pharmacy School students. Position located in Pharmacy Service Amarillo VA.

Duties

Duties include, but are not limited to: Clinical Pharmacy PACT Support: Clinic Setup/Appointment Follow-up Initial creation of Clinic Profile and following up to see that the computer attributes are correct. Responsible for all changes in the clinics, including changing the entire clinic into separate clinics for each, individual clinician, and making changes where necessary regarding all parts of the scheduling manager's program: regular scheduling, cancelling clinics, rescheduling all patients who no-show or cancel, check-ins/check-outs, stop codes, diagnosis codes and procedure codes. Assisting with over-sight of the Pharmacy PACT Clinic scheduling, handling questions and/or complaints by Pharmacy staff and/or patients for the Pharmacy PACT Clinics and resolving any problems before they escalate. This includes handling problems arising from other clinics in the hospital, if necessary. Ensuring that patients are checked out before the end of every clinic day, and also running a report monthly to ensure consults to the respective clinic are completed properly. Scheduling appointments through both telephone and in-person contact with patients in their assigned clinic in accordance to VHA Scheduling Directive 2010-027, Advance Clinic Access and Service Connection Priority Scheduling. Following providers' instructions, and assisting patients with scheduling preferences. Responsible for scheduling new and follow-up appointments adhering to all VHA directives and guidelines regarding scheduling. Pharmacy Operations Support: Policies & Procedures Developing and keeping current all internal policies, procedures, standards of practice as well as Medical Center Memorandums and protocols that affect Pharmacy Service in providing care to patients and other customers. This includes initiating new policies as well as updating established policies, in a timely manner. Pharmacy Operations Support: Education Tracking Coordinating Pharmacy Service's annual education training hours, ensuring all staff are kept current on mandatory classes and that each employee achieves the required number of education hours. Administrative Support: PIV & Computer Access Completing necessary paperwork and obtaining correct identification of each person escorted to Police Service for finger-printing, automobile registration, etc. Monitoring and tracking employee's expiration dates for all PIV badges and assisting employees in acquiring updated badges if needed. Administrative Support: Data Management Reporting to management monthly regarding the clinic workload with VistA-generated statistics, as well as VISN 17 data management reports. Using Microsoft programs to develop spreadsheets, database management, desktop publishing, and other functions. Administrative Support: Timecard (VATAS) Backup/Secretary Backup Acting as back-up Timekeeper, which includes maintaining all timecards for Pharmacy at least every 6 months. Maintaining calendar and recording appointments based on supervisor's or staff member's concurrence. Administrative Support: Office Supplies and Equipment Obtaining and monitoring the use of services, supplies, or equipment for the office. Obtaining standard office supplies and services, e.g. publications, stationary supplies, or maintenance of office equipment such as copiers. Procuring or justifying the full range of office services. Administrative Support: EIL and RMO Conducting equipment inventory annually for Pharmacy's Equipment Inventory List. Serving as backup pharmacy Records Management Officer and is responsible for proper storage for appropriate lengths of time of all pharmacy records, both hardcopy and electronic. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/23/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: acting as back-up Timekeeper to include maintaining timecards. Requiring knowledge of timekeeping rules and regulations and keeping correct records for management of all employee payroll information; recording minutes for meetings. This requires production of the minutes, obtaining signatures, and submitting minutes for appropriate signature. Responsible for tracking the completion of the request and reporting discrepancies to the Chief of Pharmacy or designation supervisor; obtaining and monitoring the use of services, supplies, or equipment for the office. Utilizing the proper procedures for procuring, authorizing, controlling and justifying services and performing a wide variety of administrative tasks associated with maintaining and supporting work performed within the organization that ranges from correspondence and information control to tracking equipment, supplies and services. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.
