The New Mexico VA Health Care System is recruiting for an Administrative Assistant to work in the Office of the Associate Director.
Duties
The position is located in the Office of the Director, New Mexico VA Health Care System (NMVAHCS), and reports to the Associate Director.
Receives, schedules, refers, and contacts members of the staff, agency and persons outside the agency ranging from other government agencies to the general public.
Provides customer services such as answering the telephone, referring visitors, or providing information about the Office of the Director.
Screens calls when the requested information concerns routine procedural requirements.
Processes all forms of incoming and outgoing correspondence.
Assists with suspense items such as patient and congressional correspondence responses, performing editing/composure when necessary.
Provides general clerical mail and correspondence services, reviewing outgoing correspondence for proper attachments, or consolidating/coordinating submittals of information.
Researches files and assembles background information on the subject of incoming material prior when needed.
Performs work involving data collection and/or tracking within the Microsoft Suite applications.
Obtains and monitors the use of services, supplies, or equipment for the Office of the Director.
Schedules appointments, coordinates meetings, and/or schedules conferences.
Provides general calendar maintenance including clerical services such as maintaining calendars and recording appointments or arranging for meeting and small conference administrative details and arrangements as required.
Performs other duties as assigned.
Work Schedule: Monday - Friday, 8:00 AM - 4:30 PM
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/27/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: assisting with all forms of correspondence and communication; greeting customers and gathering information to meet their needs; coordinating and maintaining schedules and calendars; utilizing Microsoft Suite software applications; and monitoring supplies and equipment within the office. Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school. OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education listed above.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do work; however, there may be some walking, standing, bending, and carrying of light items, and occasionally, assisting handicapped individuals.
