The primary purpose of the position is to provide technical and procedural advice to the Health Systems Specialist to support the Chief of Integrated Primary Care along with the Primary Care Leads for both the East and South Bay, VAPAHCS. The incumbent is responsible for resolving administrative issues and managing daily Primary Care Operations. This position requires excellent communication skills and familiarity with various computer programs, including Microsoft Office Suite Products.
Duties
Incumbent provides clerical and administrative assistance to the Health Systems Specialist to support the Chief of Integrated Primary Care along with the Primary Care Leads for both the East and South Bay, VAPAHCS. The incumbent reports to the Chief of Integrated Primary Care. Also aids Whole Health along with providing assistance with PCMM coordination. May assist in performing duties related to the PACT Collaboratives, suspenses and coverage to Whole Health.
Incumbent will assist in managing the calendars of the team. Arranges conferences and meetings. Schedules appointments, reserves space, time and notifies individuals who are expected to attend. Independently prepares agendas, meeting minutes, takes and transcribes dictation, and arranges for special equipment items as needed.
When necessary, arranges for travel, transportation and lodging of visitor/participants including developing a planned itinerary as requested. Will assist in the coordination of educational reimbursement for CME including Conference Event request Forms.
Incumbent coordinates meetings with key project stakeholders, independently preparing agendas and minutes and disseminating information as required. Independently composes correspondence of a. general nature for the signature of the planning section or other VAPAHCS executive leadership. Assists the section in the development and formatting of correspondence for signature, including editing and review for necessary mail routing information. Assist in the development of project status updates, developing timeline, goals, handouts and presentations.
Incumbent maintains all files and records for the section. These include performance pays, SCA for RNP/ NP's, certifies labor mapping and serves as a liaison for issues like license renewals and BLS compliance.
Incumbent will assist in monitoring proficiencies for both the MDs and the RNPs. Will 'Work with Admin Spe cialists at respective sites to coordinate credentialing paperwork for Primary Care Staff. Prepares IPE and OPPE documentation for staff credentialing in collaboration with the administrative specialists at each clinic. Will assist in submitting HR actions such as extension, conversions, reductions in FTE, name changes, etc.

Work Schedule: Monday-Friday, 8:00 am to 4:30 pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/29/2025.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-09 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
