This position is located in the administrative offices of the Medical Specialty Service Line providing services related to administrative operations, personnel, and procurement. Assist the Service Line Chief and Administrative Officer in managing the administration to include personnel/payroll, operations, information technology and automated systems.
Duties
Major Duties and Responsibilities include, but are not limited to the following:
Develops, updates, implements, and evaluates the orientation of new clerical/program support personnel, including instruction on proper format for correspondence and assigned sections' and policy and procedures.
Reviews documents prepared for signature for conformance with grammar, format and special policies of the medical center.
Serves as the records manager for the assigned section by maintaining a central filing system and library of correspondence, employee service record cards, publications, policies and regulations, manuals and other resource materials needed; maintains an effective reports control system and action/correspondence log for the section.
Research and/or analyzes problems, issues, or program requirements related to patient care programs and activities of the assigned section.
Monitors clinic utilization, submits clinic modifications and employee mapping to facilitate efficient clinical operations.
Performs work involving the collection, compilation, and/or tracking of data and statistical information in support.

Assists in the planning, review, and reporting of data/statistical results of program/project studies.
Establishes protocols for incoming data, organizes computerized data sets, and retrieves computerized data.
Assists the Section Chief in providing position management advice and recommendations to the Service Chief on distribution of workload among positions and sections and the skill set or categories of employees needed to do the work.
Serves as the ADP Coordinator for the assigned section; This includes serving as the point of contact for all matters relating to automated systems within assigned section.
Work Schedule: Monday - Friday; 7:30 am - 4:00pm, Hours may change based on the need of the agency.
Telework: Ad-Hoc, as determined by the needs of the agency.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/06/2025.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-9 position you must have served 52 weeks at the GS-7.The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-7 in the normal line of progression for the occupation in the organization. Applicants experience should reflect direct specialized experience; applicants selected at this level will be expected to perform the full range of duties for this position with little to no direct supervision. Examples of specialized experience would typically include, but are not limited to:

Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have a Ph.D. or equivalent doctoral degree or 3 full years of progressively higher level graduate education leading to such a degree or LL.M., if related OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond the graduate level.
