As a Program Support Assistant in the Administrative Section of the Engineering Service, the incumbent does a variety of clerical work as it pertains to the general mission of the Engineering Service, with a primary emphasis on overseeing the work order/preventative maintenance (PM) program.
Duties
Duties include but not limited to:
Received/ approved/ process all work orders, routine and emergency, and assigns activity numbers, cost center, and work center numbers.
Verify accuracy of information input on work orders and provide hard copy of information as requested.
Time keeping functions.
Answer/manage mulit- line phone.
Provide excellent customer service skills to handle complex issues within the Medical Center.
Provide excellent customer service to all internal and external customers
Must be able to communicate orally and written with all levels of management.
Maintain department annual equipment inventory in accordance with the non-expendable property responsibilities.
Perform general office duties, such as ordering supplies, maintaining records management database systems, creating, updating office reports and work order system.
Enter complex work orders and request for supplies and material in computer system.
Conduct routine data searches, updating Preventive Maintenance date on over 5000 pieces of equipment as required.
Work Schedule: 7:00am - 3:30pm - Monday through Friday and subject to change depending on the needs of the agency.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/30/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of appropriate work order control numbers, activity numbers, cost center number, work center numbers, and maintenance numbers for assignment to each work order. Knowledge of purchasing regulations, methods, procedures, and business practices to make order supplies, services, and equipment, including one of a kind items, items with unstable prices, etc. Expert knowledge of the office format and handling procedures for monthly reports. Knowledge of grammar, spelling, capitalization, punctuation and terminology commonly used in office settings to prepare material correctly from handwritten drafts, and knowledge of standard processing procedures, formats, and distribution and retention policies for the correspondence, bulletins, or reports produced.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is mostly sedentary. Occasionally, requirements include some walking, standing, bending and carrying light objects, such as files, books, papers manuals, etc.
