Serves as a Program Specialist within Anesthesiology, Perioperative, and Pain Medicine Service in the multi-campus, highly affiliated VA
Ann Arbor Healthcare System. Performs a wide variety of administrative tasks associated with maintaining workflow for the clinical and
educational components of the Anesthesiology, Perioperative care, and Pain Medicine service. Manages the office activities of the Service, under the direction of the Administrative Officer and Service Chief.
Duties
CLINIC COORDINATION AND ADMINISTRATIVE SUPPORT 75%
The incumbent will ensure an exceptional Veteran patient experience by utilizing standardization, implementation, and sustainment of key operational/business processes, including scheduling practices to ensure efficient and effective management of the clinic.
The incumbent will be able to identify and recommend improvements to optimize clinic management processes and access strategies.
The incumbent must be able to communicate with clinical providers from a wide array of specialties, and schedule consult requests for Anesthesia services.
The incumbent will complete schedule reconciliation to include grid management and updating Qgenda and create and distributes Acute Pain Service on call schedule to appropriate services and to the facility sharepoint.
The incumbent is part of the interdisciplinary team that works on solving daily coordination issues. The incumbent participates in daily huddles with clinical team to discuss and resolve any concerns related to patient flow and services; to be made aware of facility coverage issues; and assigning consults to providers.
The incumbent is the point of contact for MSAs/schedulers in the pain clinic.
The incumbent will serve as backup timekeeper and ADPAC (Automated Data Processing Application Coordinator) for the Anesthesia T&L. This will require the incumbent to enter time and attendance for requested leave of staff after verifying approved leave from supervisor.
The incumbent supports the daily operation for the Service where needed. May be required to input work orders, enter remedy tickets, and electronic equipment requests for the service.
Other various administrative assignments not specifically mentioned in this Position Description may be assigned to incumbent by Anesthesiology, Perioperative, and Pain Medicine Service management.
The incumbent will serve as primary PIV Sponsor for the Pain Clinic and secondary PIV Sponsor for the Anesthesia department. This will require the incumbent to sponsor the employees for new or replacement PIV cards.
EDUCATION PROGRAM COORDINATOR 25%
As the Education Coordinator for the Anesthesiology Service, the incumbent will be the primary contact and liaison for university residency programs and medical students assigned to the service.
Incumbent will make sure that the learners have proper access to the parking garage, scrub machine, locker room, VHA computer system, CPRS, VISTA and Omnicell codes.
The incumbent maintains a positive relationship with the local universities that rotate learners through the VA system and is important for contributing to the VA's positive reputation. Additionally, having a positive experience as a student and/or resident ultimately helps the VA's recruitment efforts, which helps meet the mission of the agency; the incumbent's role as coordinator of these rotations is key to ensuring learners have a smooth experience and are able to train efficiently.
Work Schedule: Monday-Friday, 7:00am-3:30pm or 7:30am-4:00pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/23/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-9 position you must have served 52 weeks at the GS-7. The grade may have been in any occupation, but must have been held in the Federal service.

If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-7 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: principles of management including administrative practices, channels of communication and delegation of authority, knowledge of operational budget, supply/contracting practices, and health care delivery processes.

Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed a master's or equivalent graduate degree or 2 full years of progressively higher level graduate education leading to such a degree or LL.B. of J.D., if related that . Education cannot be credited without documentation.
OR
Combination: Applicants may also combine education and experience to qualify at this level. You must have a combination of specialized experience and education beyond the first year (18 semester hours) may be used to qualify for the GS-9 grade level.

Physical Requirements: The work is generally sedentary but may involve walking to various areas throughout the facility, as well as carrying items such as reports and/or manuals.
