This position is located in the Housekeeping Department within the Division of Administrative Services at Crownpoint Healthcare Facility at Crownpoint, NM. The primary purpose of this position is to perform administrative and clerical support for Housekeeping.

Duties

Ensures all department records and files, which includes both electronic and hardcopy files reflect IHS Records Management standards. Prepares and submits an annual file plan for the department. Makes travel arrangements for department staff, including lodging and per diem, utilizing designated government software program. Participates and presents information in meetings, may facilitate meetings, conducts trainings. Schedules and communicates meeting arrangements for staff. Serves as the Primary Timekeeper for the staff using the automated timekeeping system, maintains, prepares and edits time cards on a weekly basis. Operates, provides staff training and support, and provides basic trouble shooting for office equipment such as copier, fax, computer printer, scanner, phone, power point, projector, laptop computer, desk top computer to support department operations. Receive/reviews and distributes incoming correspondence. Receives telephone calls and visitors, screens inquiries, takes messages, takes care of routine office matters, and refers callers/visitors to appropriate personnel. Coordinates & prepares documents for acquisition of department supplies, services and equipment.

Qualifications

To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. MINIMUM QUALIFICATIONS: GS-05: One (1) year of specialized experience equivalent to at least the GS-04 grade level; OR, (4) years above high school. Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: See Specialized Experience. Specialized Experience: Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been at least equivalent to the next lower grade level. Examples of the type of experience that will be credited are: Receives visitors, officials, telephone calls on behalf of the supervisor. Responds to routine and non-technical requests for information, such as the status of reports, impending dates for matters requiring approval. Ensures all files are filed timely and folders are in compliance. Organizes meetings, such as meeting rooms and equipment reservations. Makes travel arrangement. Serves as a primary timekeeper using the timecards and automated timekeeping system by updating employees' time and attendance; posting overtime, comp time, travel time and correct errors. Enrolls providers with third-party payers. Assists providers with enrolling, credentialing, and/or re-credentialing for third-party payers. Time In Grade Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP). You must meet all qualification requirements within 30 days of the closing date of the announcement.

Education

This position has an education requirement. You are strongly encouraged to submit a copy of your transcripts or a list of your courses including titles, credit hours completed, and grades. Unofficial transcripts will be accepted in the application package. Official transcripts will be required from all selectees prior to receiving an official offer.

Successfully completed education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite is creditable at grades GS-3 through GS-5 for all positions. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.

Combining Education and Experience: Equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements at grades GS-5 and below.
For GS-5 level positions, only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience.
