You will serve as an EXECUTIVE ASSISTANT within HEADQUARTERS US INDO-PACIFIC COMMAND.

Duties

You will assist in planning and scheduling appointments, conferences, and meetings for the J8 Director and Deputy Director. You will draft and review correspondence, ensuring compliance with established policies and appropriate distribution. You will monitor and track progress on assigned tasks within the Task Management System. You will coordinate with divisions to collect and compile nominations for awards, ensuring proper documentation and recognition. You will serve as a liaison between Directorate and other teams to provide updates, relay instructions, and resolve technical or administrative issues. You will support the Directorate's manpower studies and organizational chart updates to ensure staffing aligns with mission requirements.

  • Generally, current federal employees applying for GS jobs must serve at least one year at the next lower grade level. This requirement is called time-in-grade. Time-in-grade requirements must be met by the closing date of this announcement.
  • Within the Department of Defense (DoD), the appointment of retired military members within 180 days immediately following retirement date to a civilian position is subject to the provisions of 5 United States Code 3326.
  • Males born after 12-31-59 must be registered for Selective Service.
  • You will be required to obtain and maintain an interim and/or final security clearance prior to entrance on duty. Failure to obtain and maintain the required level of clearance may result in the withdrawal of a job offer or removal.
  • Successful completion of a pre-employment drug test (including marijuana) is required. A tentative offer of employment will be rescinded if you fail to report to the drug test appointment or fail the test. You will be subject to random testing.
  • This position may require travel from normal duty station to CONUS and OCONUS and may include remote or isolated sites. You must be able to travel on military and commercial aircraft for extended periods of time.
  • You will be required to obtain and maintain a U.S. Passport.

Qualifications

GS-12 Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-11 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: 1) Coordinating high level communication between the J8 Directorate and senior leaders across government agencies and serving as a principal advisor on administrative policies and operations. 2) Developing and implementing departmental office systems and procedures and managing workflow and ensuring compliance with organizational policies. 3) Providing analytical and decision-making support emphasizing the capacity to handle complex personnel management and strategic planning. 4) Utilizing advanced knowledge of the Defense Travel System showcasing proficiency in arranging and reconciling travel-related tasks for senior staff. 5) Applying expert skills in quantitative and qualitative analysis underlying a strong ability to streamline processes, improve efficiency, and manage resources effectively. GS-11 Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-09 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: 1) Assisting in coordinating communication between J8 Directorate and external agencies reflecting the ability to support senior leaders in advancing organizational goals. 2) Supporting the development and implementation of office procedures adhering to established standards under supervisory direction. 3) Contributing analytical insights and recommendations demonstrating the capacity to assist in strategic decision-making process and improve workflow efficiency. 4) Managing travel arrangements through the Defense Travel System showcasing proficiency in preparing itineraries and reconciling expenses under the guidance of a supervisor. 5) Performing quantitative and qualitative analyses highlighting the ability to enhance operational efficiency and support resource management efforts as delegated by leadership. In lieu of specialized experience, you may qualify with the following education or combination of both education and experience:

Ph.D. or equivalent doctoral degree

or

3 full years of progressively higher level graduate education leading to such a degree

or

LL.M., if related
