The Battle Creek VA Medical Center is recruiting for a Program Support Assistant for Extended Care Service (ECS). The Program Support Assistant will function as administrative and clerical support on Extended Care Service Community Living Center Units
Duties
**This not a virtual position, you must live within or be willing to relocate within a commutable distance of the duty location**
The primary duties include:
Acts as receptionist on unit receiving incoming calls and greeting patients, staff, family visitors, and others while providing excellent customer service to all internal and external customers.
Provide general clerical administrative support and uses sound judgement in prioritizing tasks according to urgency and deadlines.
Schedules, cancels, and re-schedules appointments of residents and monitors appointments in accordance with current guidelines.
Organizes medical charts, maintains files and office records.
Makes telephone contact to arrange conference times for guardian or family members to attend treatment team.
Attends, records, and submits final meeting minutes.
Resolves minor problems independently through the use of appropriate guidelines.
Identifies omissions and discrepancies in paperwork, notifies staff and initiates corrective action by contacting appropriate staff.
Reviews, selects and interprets medical information for accuracy and completeness of patient records, providing specific medical data for transfer, discharge requests, forms, and reports.
Utilizes the proper system to enter electronic work orders for area maintenance.
Uses Microsoft Office and other office software to execute creation, storing, and retrieval of electronic documents for communication, reporting and presenting information.
The incumbent serves as a Program Support Assistant utilizing skills preparing correspondence, tracking action items, publishing policies and guidelines according to deadlines.
Review incoming mail, delivers mail, and prepares correspondence.
Responsible for tracking bed admissions/transfers/discharges on approved software programs.
Maintaining employee comp folders in the absence of the service secretary by ensuring all up-to-date paperwork is filed and in the appropriate locations.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/12/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a position GS-5 you must have served 52 weeks at the GS-4. The grade may have been in any occupation, but must have been held in the Federal service. A current SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

GS-5
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Providing general clerical administrative clerical administrative support and uses sound judgement in prioritizing tasks according to urgency; Act as receptionist on a medical unit, receiving incoming calls and greeting patients, staff, family, visitors and others; Schedule, cancel, and re-schedule appointments of residents and monitors appointments in accordance with current guidelines; Demonstrates excellent customer service to all internal and external customers.

Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school.

Proficiency requirement: In addition to meeting experience and/or education requirement applicants must show possession of 40 word per minute typing speed.
