The Program Support Assistant (OA) is located within the Nursing Service at the Orlando VA Medical Center (OVAMC) at the Lake Nona Campus. The incumbent is responsible for providing a broad, complex and diverse scope of administrative, technical and specialized support for Nursing administration. The incumbent is an essential member of the Nursing team which directly supports the Nursing Services Manger, Nurse Managers and Chief Nurses.
Duties
Duties include but are not limited to:
Provide administrative and problem-solving support to Nursing Administration, specifically, establishing operational/procedural protocols, data collection of overtime/sitter hours, and evaluates/interprets and distributes action required and unsigned notes reports in support of Nursing Leadership.
Establish operational/procedural protocols for data collection.
Document regulation compliance.
Address budgetary needs related to office supply requests and file management requirements.
Primary timekeeper.
Establish, review and update processes for policies and standard operating procedures.
Track the life cycle for mandatory training in the Talent Management System (TMS), accreditation findings, position descriptions, functional statements and addendum's.
Ensure appropriate compliance standards are maintained.
Provide clerical support for nursing meeting minutes, agendas, and presentations and has the ability to schedule meetings, obtain conference rooms and nursing teleconference lines.
Serve as the Nurse Managers primary point of contact in updating workload in the local Labor Mapping Tool.
Collaborate with the Nursing Administrative Officer in planning strategies for improving and streamlining the nursing records management process.
Use computer and appropriate software to prepare correspondence, analyze data, place orders, enter work orders and ensure appropriate employee access, payroll processing.
Work Schedule: 7:30am-4:00pm Monday through Friday

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/09/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Providing administrative services to patients, assisting staff with tracking/reporting service data, preparing program materials/reports, inventory and ordering of supplies.
Preferred Experience:
2 years of recent administrative office experience
Proficient in Microsoft Office, Word, PowerPoint, Excel and Teams
Customer focused attitude needed for daily interactions with veterans, employees and potential VA employees
Ability to multi-task

Physical Requirements: The position is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing: bending: carrying of light items such as papers, books, small parts: or driving an automobile, etc. No special physical demands are required to perform the work.
