This employee is a Program Assistant for Dental Service. In this capacity he/she provides a wide range of essential management and independent administrative support for the Service. These activities include data collection and analysis for the Dental Service clinic workload, performance improvement programs, fee-basis dental programs and the Homeless Veterans Dental Program.

Duties

Major duties include but are not limited to: Provides self-initiated advisory, technical and clerical support to the Dental Chief, staff dentists as well as, the Dental auxiliaries. Acts as the Contracting Officer Representative (COR) for the contract dental Lab contracts. Actively assists the Chief Dentist, staff dentists, and dental auxiliaries in the management of Dental Department Programs by performing administrative duties and acting as office manager in regard to the general supervision of activities conducted in the Dental Department. Makes recommendations to the Chief for courses of action to correct deficiencies noted within the service. Reads, reviews, and analyzes directives and instructional material pertaining to administrative functions. Develops methods for automating reports for the Chief. Uses word processing software to prepare correspondence, reports, memoranda, etc. Acts as the Point of Contact for the Eugene CBOC Dental clinic to coordinate care, ensure equipment and supplies are available and working, coordinate training, track TMS learning, and coordinate staff meetings.. Functions as Fund Control Point Coordinator for the Dental service. Keeps track of all education experiences undertaken by dental staff, complete and file registration forms, and keep staff informed of their status with respect to education requirements. Supervises administrative arrangements for consultants and serves as the Service Point of contact on matters of professional privileges and credentialing. Serves as a consultant to the clinical staff in matters of patient management as it relates to special administrative questions or problems. Maintains varied personnel/position actions and/or services. Collects, assembles, and records data for all recurring and non-recurring reports, including quality assurance and productivity studies, and prepares them in final form. Serves as service time and leave clerk. Reviews consult requests for dental examination and treatment from patients with a wide variety of dental eligibility and medical/dental conditions. Serves as the first line of contact, either by telephone or face-to-face, for patients, patient family members, facility staff, applicants, and visitors. Performs other related duties as assigned. Work Schedule: Monday - Friday, 8:00 a.m. to 4:30 p.m. Position Description Title/PD#: Administrative Support Assistant/PD303750 Physical Requirements: The employee's work is mostly sedentary; however, some walking; standing, and carrying light items is required. Light filing, sometimes involving working close to the floor, is involved. Wrist and back protection is provided to minimize the risks associated with prolonged use of automated data processing equipment.

Qualifications

To qualify for this position, applicants must meet all requirements within 30 days of the closing date of this announcement, 12/06/2024. Specialized Experience: One year of specialized experience (equivalent to the GS-5 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Performing a full range of administrative support for an office; receiving visitors and phone calls; managing, compiling and analyzing data; providing guidance and support to operating programs; preparing correspondence, reports, memoranda, and other forms of written communication; and utilizing office automation software. NOTE: Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position AND the number of hours a week spent in such employment. There is no educational substitution for the GS-6 level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Education

There is no educational substitution for the GS-6 level.
