The incumbent functions as a Program Support Assistant for Surgery ICC. Under the direction and supervision of the Chief of Surgery and the Administrative Officer for the NWI Surgery ICC. The incumbent is responsible for administrative and operational duties for the effective execution and operations of the Surgery service line throughout the NWI health care system.
Duties
Performs and monitors established administrative management requirements for the Surgical Department.
Applies administrative polices and maintains various systems.
Coordinates travel.
The incumbent helps ensure that the respective polices (both local and national) are followed and keeps abreast and advises the Chief of Surgery, Administrative Officer and top department managers of program and policy updates and assists to incorporate these into local policies.
Composes correspondence and reports, prepares memoranda, agendas, schedules,
charts, data, contracts and program materials.
Communicates both orally and in writing, to maintain collaboration and connection with VISN 23 service line management, academic affiliates and VACO regulatory and/or governmental and nongovernmental organizations necessary for program management.
The incumbent represents the NWI Surgery Department at meetings attended by representatives of various medical and non-medical services.
Performs analysis of budgets and contracting requirements within the department for multi-year allocations and advises Department leadership of projected requirements and monitors
the needs for redistribution of funds, when necessary.
Serves as a Surgery Department timekeeper and Automatic Data Processing Applications Coordinator (ADPAC).
Work Schedule: Monday through Friday, 7:00 a.m. to 3:30 p.m.

Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required.

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Communicating effectively within an office environment; Utilization of various VA office automation software packages, such as Excel, PowerPoint, Maximo, Vista etc.; Interpreting and understanding established health care system rules, regulations, and procedures; Performing cost analysis to propose expenditures that are financially reputable.
