This position is in the Health Information Management (HIMS) section of the Health Administration Services (HAS) service line of the Eastern Colorado Health Care System (ECHCS). The HIMS Scanning Unit assist the medical center in the transformation of paper documents to electronic documents in the Computerized Patient Record System (CPRS) via VistA Imaging.
Duties
Major Duties include but are not limited to:
Scanning, uploading, indexing, quality control, destruction, and transfer of health and administrative information.
Electronically scanning or uploading various health information documents, assuring that the scanned documents are associated with the correct patient, progress note, consultation, or document type.
Reviews each page for appropriate scanning criteria and assures that all necessary health and administrative information is integrated into CPRS.
Correctly indexes all documents imported or uploaded from other devices according to VA guidance.
Maintains confidentiality of all electronic records.
Utilizes a computer to perform a wide variety of record keeping, correspondence, and tracking operations.
Communicates or contacts administrative and clinal staff members to locate/obtain health records, documents, or requested information.
Opens and distributes mail, faxes, and documents received.
Assists the medical center services and programs in preparation of records to be sent to National Records Archive or other facilities for storage.
Processes requests to other facilities.
Work Schedule: Monday-Friday 8:00am-4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/29/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. Candidates may be advanced without time restriction to positions up to GS-5 if the position to be filled is no more than two grades above the lowest grade the employee held within the preceding 52 weeks under his or her latest non-temporary competitive appointment. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials, as required by the announcement.
You may qualify based on your experience and/or education as described below:
General Experience: You must have one year of general experience equivalent to at least the next lower grade GS-03 in the normal line of progression for the occupation in the organization. General experience- Progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled would typically include, but are not limited to:
Scanning/importing all NON VA & VA documents.
Indexing medical records in accordance to VA guidance.
Utilizes computer to perform a wide variety of record tracking, timely filing, retrieval, and clerical duties associated with retention, maintenance, and disposition of records.
Maintains confidentiality of all electronic and paper components of health records or medical center program materials.
Responsible for communicating with administrative and clinical staff to locate & obtain health records, documents, and requested information.
Retrieves records using computer based patient treatment history and historical records transactions for hard to find records. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 2 years above high school OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond 2 years above high school.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements:The work is mostly sedentary; work may involve considerable walking, standing, bending in search of health records. Lifting and carrying of bulky records and boxes, usually not to exceed 50 pounds. Pushing carts is routine for retiring records.
