This position is in the Health Information Management (HIMS) section of the Health Administration Services (HAS) service line of the Eastern Colorado Health Care System (ECHCS). The HIMS Scanning Unit assists the medical center in the transformation of paper documents to electronic documents in the Computerized patient Record System (CPRS) via VistA imaging. The unit also aids in the form of scanning and uploading of documents for medical center programs and services.
Duties
Major duties include but are not limited to:
Scanning/Importing all NON-VA & VA documents received for the ECHCS.
Sends and recalls all Archive records from Federal Records Centers.
Scans and uploads information into the correct patient records.
Notifies supervisor when images are scanned or uploaded.
Communicates or contacts administrative and clinical staff members.
Introduces and explains documents received from community care providers, and others.
Indexing of medical records in accordance to VA guidance
Perform self- quality and accuracy reviews
Ensures regular quality checks are completed per prescribed timelines.
Maintains confidentiality of all electronic records.
Utilizes a computer to perform a wide variety of record keeping.
Locates central files in computer system.
Work Schedule: Monday - Friday, 8:00am to 4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/24/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-4 position you must have served 52 weeks at the GS-3. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
General Experience: You must have one year of general experience that is progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled. Examples of general experience include: Scanning and uploading health and administrative information. Completing quality checks and notifying Supervisor when information is incorrect. Communicating/contacting administrative and clinical staff members to locate information. Opens and distributes mail, faxes, and documents. Prepares records for inactivation and transfer. Utilizing a computer to perform record keeping, correspondence and tracking records. Performing health information management functions. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed 2 years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have a combination of general experience and education as described above.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is mostly sedentary; however, until records have been automated, work may involve considerable walking, standing, and bending in the search of health records. There is lifting and carrying of bulky records and boxes, usually not exceed 50 pounds. Pushing cards is routine for retiring records.
