This position is located at the Kayenta Service Unit, Quality Management Division, Kayenta, Arizona. The purpose of this position is to perform a wide a variety of administrative tasks associated with maintaining and supporting the work performed within the Quality Management Division. Such work includes functions necessary for the efficient management of an office and ranges from correspondences and information control to ordering and tracking equipment, supplies and services.

Duties

The incumbent: Receives, assesses, routes, handles incoming and outgoing materials such as routine correspondence, reports, memoranda and other forms of written communication. Performs office automation duties such as reports, forms, presentation materials which may include complex graphs, charts, and tabular materials. Compiles, organizes, and tracks program data which may include statistical information in support of the organization's program operations. Manages the appointment and meeting schedule for the Director of the organizational unit served. Receives, refers, and interacts with persons within and outside the immediate organizational unit. Performs a wide variety of administrative tasks such as purchasing supplies, equipment and other materials utilizing prescribed purchasing guidelines and procedures. Follows-up on and tracks expenditures and ensures prompt payment.

Qualifications

To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. For positions requiring positive education requirements, or if you are using education to meet all or part of the qualification requirements, you MUST submit a copy of your transcripts or an itemized list of college courses which includes equivalent information from the transcript (course title, semester/quarter hours, and grade/degree earned) in your resume. MINIMUM QUALIFICATIONS: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: GS-05: One (1) year of specialized experience equivalent to at least the GS-04 level OR four (4) years of education beyond the high school level. GS-06: One (1) year of specialized experience equivalent to at least the GS-05 level. GS-07: One (1) year of specialized experience equivalent to at least the GS-06 level. Specialized Experience: Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level. GS-05 Specialized Experience: Create correspondence in proper formats utilizing word processing programs; maintain manual and electronic calendars to add, delete or change meetings; serves as a receptionist or point-of-contact for an office; maintaining electronic and hard copy files; inputting data into an automated timekeeping system; input data into an electronic database for procurement of equipment and supplies. GS-06 Specialized Experience: Performs administrative processes such as time keeping; preparing records for processing; scheduling for upper management using electronic calendars; responds to complaints from the public; compile information from a variety of sources to prepare reports; prepare and submit supply requisitions according to established rules. GS-07 Specialized Experience: Receives requests from others on but not limited to personnel requests, travel and/or training requests, and determine the appropriate procedures to complete; provide guidance to managers on personnel requests; troubleshoot problem encountered by managers or employees on automated systems related to but not limited to timekeeping, travel, training, etc.; serves as first point of contact for all incoming calls visitors to address need; draft into final form response to correspondence or report request. Typing Proficiency Requirements: In addition to meeting experience or education requirements, applicants must provide evidence of their typing proficiency of 40 words per minute typing speed based on a 5-minute sample from a school or other organization authorized to issue such certificates. Certificate must not be over three (3) years old and must be on a business letterhead. This agency does not accept self-certifications. For current or former Navajo Area Indian Health Service employees who left within three (3) years, you may attach a copy of your latest SF-50, Notification of Personnel Action, that indicates Office Automation (OA) next to your position title. Time In Grade Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP). You must meet all qualification requirements within 30 days of the closing date of the announcement.
