The purpose of the position is to perform a wide variety of administrative tasks associated with maintaining and supporting the work performed within the organization. Such work includes functions necessary for the efficient management of an office and ranges from correspondence and information control to ordering and tracking equipment, supplies, and services. Incumbent reports to the Supervisory IT Specialist Chief Information Officer.

Incumbent receives, assesses, routes, or otherwise handles incoming and outgoing materials such as controlled or routine correspondence, reports, memoranda, and other forms of written communication. Performs the following duties: tracks controlled correspondence; composes and edits correspondence, letters and reports; reviews correspondence and other written documents for accuracy and completeness; and develops standard or form letters and replies to inquiries. Develops background information and prepares outlines for correspondence/reports.
Performs office automation duties which include the preparation of ad hoc and reoccurring reports, forms, correspondence, and presentation materials which may include complex graphs, charts, and tabular materials. Compiles, organizes, tracks programs data which may include statistical information in support of the organization's program operations.
Manages the appointment and meeting schedule for the Director of the organizational unit served, and those of other senior staff members as directed. Serves as point-of-contact for scheduling meetings for conference rooms.
Receives, refers, and interacts with persons within and outside the immediate organizational unit including staff of other Federal organizations, private industry, and the general public.
Performs a wide variety of administrative tasks required to support the work of the organization. The work may include purchasing supplies, equipment and other materials utilizing prescribed purchasing guidelines and procedures. Follows-up on and tasks expenditures and ensures prompt payments.
Qualifications
To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
MINIMUM QUALIFICATIONS:
Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks:
GS-05: One (1) year of specialized experience equivalent to at least the GS-04 level OR four (4) years of education beyond the high school level.
GS-06: One (1) year of specialized experience equivalent to at least the GS-05 level.
GS-07: One (1) year of specialized experience equivalent to at least the GS-06 level.
Specialized Experience: Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level.
GS-05 Specialized Experience: Performing clerical work such as preparing, receiving, reviewing and verifying documents; maintaining office records; and locating and compiling data or information from files and other data sources; timekeeping, preparing and processing financial documents.
GS-06 Specialized Experience: Creating a variety of correspondence in proper format using word processing programs; maintaining manual and electronic calendars to add, delete, or change meetings; processing a wide variety of budgetary transactions; service as a receptionist or point-of-contact for an office; and performing data entry into an automated timekeeping system.
GS-07 Specialized Experience: Maintaining calendars and meeting schedules for higher level staff; performing specialized office tasks in support of a unit including screening training requests; compiling information from a variety of sources to prepare reports; and preparing and submit supply requisitions according to established rules.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
