This position is responsible for a variety of administrative duties that support the Income Verification Division (IVD) at the Health Eligibility Center (HEC). The IVD is responsible for the financial responsibilities including travel, accounting, and budget plus the processing of incoming and outgoing mail, imaging of documents and reproduction of materials needed by HEC staff.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Major duties and responsibilities include: Manages administrative duties related to performance standards and performance appraisals ensuring the confidential information is maintained, drafts letters of acknowledgement, commendation, and notification, etc. Maintains Income Verification Division (IVD) reference files, both paper and electronic, for minutes of meetings, budget, staffing, and other division-wide record keeping. Types letters, memoranda, narrative documents, forms, et cetera using office software applications. Maintains the Associate Director and Assistant Associate Director's calendars and makes travel arrangements for the IVD Director's office staff. Screens all calls and visitors, answering questions and completing business involving established policies or routine matters. Arranges conferences and meetings. Attends calls and meetings when requested to record and produce minutes and/or summarizations, including management meetings and conference calls where confidential information is discussed, such as sensitive labor relations issues. Serves as the section's liaison to the purchasing/procurement office to arrange for, monitor, and secure equipment, services, and products, and serves as the organization's focal point for coordination of all procurement/purchasing activities with the central administrative staff. Plans and coordinates a variety of general office support services in support of the work of an organization, such as requisition, purchase, storage, and maintenance of stock levels, installation, repair, maintenance, and disposal of office equipment, etc. Maintains department staff timecards, including the collection and input of data into the computer system (VATAS), aids in assisting other timekeepers throughout the directorate by providing back-up support. Performs other duties as assigned. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience requirement, you must be able to type at least 40 words per minute. -AND- Specialized Experience: One (1) year of specialized experience that equipped you with the knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of this position. To be creditable, this experience must have been equivalent to at least the GS-5 grade level in the Federal service. Specialized experience must include: operating computers and software for word processing, spreadsheets, and other software applications, such as for timekeeping; operating office equipment such as copier, fax machine, shredder, calculator, etc.; organizing and managing paper and electronic files; organizing meetings and producing meeting minutes. You will be rated on the following Competencies as part of the assessment questionnaire for this position: ClericalCommunicationComputer SkillsCustomer Service (Clerical/Technical) IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; or driving an automobile, etc. No special physical demands are required to perform the work.
