This position is located in the Quality Management Department at the VA Illiana Medical Center System (VAIHCS), in Danville, IL. The primary purpose of the position is to provide administrative, clerical, and program support for Quality Management.
Duties
Major Duties:
Assists with implementing internal review systems to assure activities are in compliance with agency and accrediting regulatory requirements.
Prepares and electronically submits reports on performance improvement, Risk Management/Peer Review, Utilization Management, HRO, Systems Redesign, and regulatory compliance activities for use by the medical center, Veterans Integrated Service Network (VISN), and national organizations.
Performs specialized duties within the QM Service such as systems redesign and related performance improvement activities, administrative support for regulatory compliance for internal and external reviews, and administrative support of the Risk Management, and Utilization Management programs.
Collects data and develops trending sheets and/or graphs for the display of pattern data.
Prepares and monitors all Quality Management Service Medical Center Policies (MCP) and Standard Operating Procedures (SOP) for compliance.
Independently coordinates and tracks all MCP and SOP for compliance for the whole facility.
Assists with pre-survey preparation, on-site and post-survey activities.
Maintains the Site Visit Appointment calendar, schedules staff appointments, reminds supervisor/staff members of the subject matter prior to the meeting, and makes administrative arrangements as required.
Maintains control records, tracking logs, action items, manages administrative suspense items, transaction records and follow-up measures on incoming correspondence and action documents to ensure prompt handling.
Receives and reads all incoming correspondence directed to the department and initiates actions necessary for its proper disposition.
Independently designs, organizes, maintains, and revises the office filing system.
Provides TMS training and advisory services to the Quality Management (QM) staff in all program administrative procedures ensuring compliance with regulations.
Serves as the Contracting Officer Representative (COR) for the Court Reporter Contract.
Screens all calls and visitors, answering most questions on established policy or routine matters.
Uses an electronic calendar, database or spreadsheet software to document employee leave schedules and to commit the QM's time for appointments and meetings; transmits and receives documents and messages electronically.
Prepares travel requests and vouchers for domestic travel.
Prepares graphics, photos/slides, creates tables and graphs based on statistical data for QM professional staff for use in presentations at meetings, workshops, and conferences.
Performs other duties as assigned.
Work Schedule: Monday - Friday; 7:30am - 4:00pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/07/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Independent judgment in making administrative decisions for the good of the facility. Providing administrative support to a team, including maintaining appointment calendars, coordinating meetings, conference calls, and ordering supplies. Assisting in departmental problem solving and planning alternative solutions. Preparing reports, assisting in planning, reviewing and reporting data, and statistical results. Data collection and develop trending sheets or graphs to display the data in reports for internal and external review.
Typing Proficiency: Must be able to type at least 40 words per minute

Physical Requirements: The work is primarily sedentary and requires ability to cope with diverse projects and deadlines, as well as handling situations requiring diplomacy. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items such as papers, books, small parts; set up for educational sessions/educational fairs. No specific physical demands are required to perform the work.
