This position is organizationally aligned to Maintenance and Operations, Facility Management Service (FMS) at the VA Illiana Health Care System, Danville, IL. This position is responsible for providing administrative and clerical assistance to the administrative management of Maintenance and Operations. FMS is responsible for the provision of operational, M&R, and professional engineering services at and for VAIHCS.

Duties

Duties include but are not limited to: Primary telephone receptionist and initiates action to the proper section or unit. Coordinates emergency repair calls with the Maintenance Supervisors. Maintains the Chief's calendar, prioritizes appointments and meetings. Receives, reviews, and investigates incoming correspondence, reports and memoranda received by Facility Management Service. Reads outgoing correspondence for procedural and grammatical accuracy, making certain that it conforms to medical center policy and factual correspondence. Serves as the primary timekeeper for Facility Management Service. Responsible for the processing of supplies, materials, and services required by the Maintenance and Operations Section through the IFCAP system. Works closely with the Maintenance Supervisors to ensure that FMS HR responsibilities are met, including the maintenance and updating of service level organizational charts, position descriptions, onboarding new employees, CTOPs, competency assessments, performance plans, etc. Responsible for all distribution of mail and correspondence. Serves as the work order clerk and performs duties as required to keep the work order system current. Serves as TMS administrator/coordinator for Engineering Service. Performs clerical applications and equipment operating duties as elements of work that support AMES/MERS data processing. Establishes and maintains files in connection with FMS work, and revises them to meet current needs and demands. Purchase card holder and complies with all the acquisition regulations. Analyzes and prepares program reports for review at all levels of Facility Management Service. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/29/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience with computer software programs such as Microsoft Outlook, PowerPoint, Excel and Word to prepare presentations, briefings, reports and correspondence; Administrative and clerical work of an office; Ordering supplies, equipment and services, and managing cost accounting pertaining to each item; Maintaining time and attendance records; Performing data collection and preparing reports; and Communicating effectively using verbal and written communication skills. You will be rated on the following Competencies for this position: ClericalCommunicationsComputer SkillsManages and Organizes Information Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items such as files, papers, books, and small parts, etc. No special physical demands are required to perform the work.
