Performs duties related to the receipt, intake, indexing. transfer, of health and administrative information and other file room duties as assigned. Controls all information arriving and leaving the Medical Center form Health Information Management Section. Knowledge and ability to process request for health/administrative information presented in person, by mail telefax, telephone, or e-mail. Knowledge and ability to process a request for fax, PC fax, and teletype is necessary.
Duties
Performs duties related to the receipt, intake, indexing, transfer of health and administrative information and other file room duties as assigned.
Processes requests for health/administrative information presented in person, by mail, teletype, telefax, telephone, or e-mail.
Maintains a record request database.
Scans an average of 750 documents per day or scan documents on an average of 250 patients per day.
Processes a request for fax, PC fax, and teletype is necessary.
Ensures that all necessary health/administrative information is integrated into VISTA through PC scanning.
Indexes information using PC/VISTA application bridges with a 98% accuracy.
Completes transfer of all transcribed reports from a word processing environment of VISTA within one workday of receipt.
Controls all information arriving and leaving the Medical Center from Health Information Management Section.
Conducts follow-up activities which require tact and persistence when information is not received in a timely fashion.
Provides administrative support to members which include: filing health information requests, requesting private and other VA medical records and other special projects deemed appropriate by the Chief, Health Information Management Section (HIMS/MAS)
Work Schedule: Monday to Friday (8:00am - 4:40pm)

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/01/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-04 position you must have served 52 weeks at the GS-03. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-03 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: provide administrative support to members which include: filing health information requests, requesting private and other medical records and other special projects. Scanning received records. Possess regular access to printed and electronic files containing sensitive data. Protect sensitive data under the provisions of the Privacy Act of 1974. When transfer is received, the incumbent will determine the urgency of the request.

Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have wo years above high school.

Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond .

Physical Requirements: The work is mostly sedentary, however, some banding, stretching, walking and lifting are required.
