The Portland Veteran's Affairs Medical Center is looking to fill a Supervisory Medical Support Assistant positions in the Inpatient and Emergency Services Division (IESD) service line.
This position is open to current Portland, OR VAMC employees only. You must upload your most recent SF-50 from 2024 to be considered.
The tour of duty is Monday-Thursday or Wednesday-Saturday, 0530-1600 or 0700-1730.

Duties:
The duties of this position include but are not limited to the following:
Plan and direct MSA programs for the Inpatient and Emergency Services Division and have full supervisory responsibility for supervising IESD Lead MSAs, Advanced MSAs and MSAs.
Provides administrative support to IESD executive leadership.
Acts as a subject matter expert, trainer, and supervisor for all other IESD MSAs.
Provides guidance to staff on administrative matters including staff supervision, and clinic scheduling, maintenance, and evaluation of medical records, and assuring legal requirements for care.
Performs general program support and special project work such as collection, compilation, research, and/or tracking of data and program information, and provides administrative support and expertise in completing local, regional, and national mandates.
Routinely communicates with physicians, case managers, and other allied health professional staff using sound interpersonal skills and is constantly aware of the sensitive information.
Work Schedule: Monday-Thursday or Wednesday-Saturday, 0530-1600 or 0700-1730.

Pay: Competitive salary and regular salary increases. When setting pay, a higher step rate of the appropriate grade may be determined after consideration of higher or unique qualifications, or special needs of the VA (Above Minimum Rate of the Grade).
Paid Time Off: 37-50 days of annual paid time offer per year (13-26 days of annual leave, 13 days of sick leave, 11 paid Federal holidays per year) Selected applicants may qualify for credit toward annual leave accrual, based on prior federal work experience or military service experience.
Parental Leave: After 12 months of employment, up to 12 weeks of paid parental leave in connection with the birth, adoption, or foster care placement of a child.
Child Care Subsidy: After 60 days of employment, full time employees with a total family income below $144,000 may be eligible for a childcare subsidy up to 25% of total eligible childcare costs for eligible children up to the monthly maximum of $416.66.

Qualifications

Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3j
Specialized Experience must possess one year of specialized experience equivalent to the GS-7 grade level leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting.
Candidates must demonstrate the KSAs below:
Ability to provide the full range of administrative and supervisory duties to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements.
Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations.
Ability to provide briefings, orientations, staff development, and training in a patient support setting.
Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs.
Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.
Grade Determinations: must possess one year of specialized experience equivalent to the GS-7 grade level leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting.

Physical Requirements: The work is mostly sedentary but may require periods of standing or walking however, there are no physical requirements for the 0679 Medical support Assistant occupation.
Education
Education cannot be substituted for experience at the GS-08 grade level.
