The Portland VA Medical Center is looking to fill a Supervisory Medical Support Assistant (MSA) position located in the Mental Health Service Line.
This position manages, directs, and supervises MSA's, AMSA's, Lead MSA's who are assigned to the Mental Health and Neurosciences Division (MHD).
NOTE: Open to current permanent Portland VAMC employees only.

Duties
The duties of this position include but are not limited to the following:
Ensure consults for each section are acted on, scheduled, and completed accurately and timely based on VA Directives, laws, and memorandums.
Ensure all appointments are scheduled according to VA Directives, laws, and memorandums
Ensure outpatient encounter forms are completed accurately and timely in accordance to the Health Care System policy.
Ensure adequate coverage plan is in place for the section.
Completes employee competency forms, mid-terms, and year end performance appraisals.
Assists with development of performance standards.
Initiates disciplinary actions and/or performance improvement plans when necessary.
Audits employees scheduled appointments and provides feedback as appropriate.
Monitors and analyzes supply and demand for specialty care services and applies Advanced Clinic Access principles to achieve access goals.
Collects and analyzes data related to the impact of missed opportunity, physician productivity and systems of care to assist each specialty service in meeting performance measures related to access

Qualifications
To qualify for this position, applicants must meet all requirements within 30 days of this announcement closing date
Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3j
Specialized Experience must possess one year of specialized experience equivalent to the GS-7 grade level leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting.
Candidates must demonstrate the KSAs below:
Ability to provide the full range of administrative and supervisory duties to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements.
Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations.
Ability to provide briefings, orientations, staff development, and training in a patient support setting.
Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs.
Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.

The full performance level of this vacancy is GS 8
Physical Requirements: The work is mostly sedentary but may require periods of standing or walking however, there are no physical requirements for the 0679 Medical support Assistant occupation.
Education
Education is not used for substitution of experience at the GS 8 level.
