The position is located in the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), at the Northern Arizona VA Medical Center (NAVAMC) in the Health Administration Service. The primary purpose of the file clerk position is to maintain accessible records and provide efficient service for direct and indirect patient care by managing the receipt and scanning of health documents in a timely and accurate manner.

Duties

The primary duties of this position are to maintain accessible records and provide efficient service for direct and indirect patient care by managing the receipt and scanning of health documents in a timely and accurate manner. Major duties include, but are not limited to: Performs duties related to the receipt, intake, and indexing of health and administrative information. Interfaces with personal computer {PC) applications, DSS programs as well as numerous VistA applications. Searches for materials when process is complicated by questions arising from need for precedent type documents based on outdated regulations and from their having been, removed to storage areas, to individually maintained historical files. Reviews and research numerous and voluminous medical reports from non-VA health care facilities deciding as to which documents are to be scanned, and when necessary, obtain guidance from providers and/or CPRS Committee's guidelines. Searches for and remove numerous duplicate records in received documents. Index this information using PCNistA application bridges. Reviews incoming correspondence and notes all references to previous correspondence. Search and obtain from files previous correspondence or related subject matter and forwards the assembled material to the proper official for action. Assists in training clinic staff in scanning key documents created on a concurrent basis (Le.ER notes, advanced directives, consents, conscious sedation flow-sheets, etc.). Assists in training staff members and assisting with tasks during job vacancies and employees' absences. Resolves file room issues such as lost records, urgent need for large record pulls for external reviewers and research purposes, and retrieval of old hard copy reports from multiple volumes of patients' records, etc. for patient care, research, and to comply with requests for medical information. Work Schedule: Monday -Friday, 20 Hours Per Week. Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/17/2024. You may qualify based on your experience/education as described below: General Experience: You must possess one year of general experience. General Experience is progressively responsible clerical, office, or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of this position being filled. Examples of general experience include: working with a personal computer (PC), copying and duplicating documents; performing duties related to the indexing and scanning and/or importing information. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have possess two (2) years of education above high school. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university.(You must submit copies of your transcripts for your education to be considered.) . OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of general experience and education required for this position as referenced above. . You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is mostly sedentary; however, until records have been automated, work may involve considerable walking, standing and bending in the search for health records. There is lifting and carrying of bulky records and boxes, usually not to exceed 50 pounds. Pushing carts is routine for retiring records.
