This position is in the Veterans Health Administration (VHA), Prescott VA Medical Center, Northern Arizona VA HCS (NAVAHCS), located in the Health Information Management Section (HIMS) of Patient Business Office (PBO). The HIMS Scanning Unit is transitioned from maintaining paper health records to electronic health records by implementing templates in the Computerized Patient Record System CPRS or scanning procedures.
Duties
Major duties include but are not limited to the following:
Compile various electronic health information documents and ensure documents are associated to the correct patient Electronic Medical Record.
Process documents in accordance with established Document Scanning Committee or similar governing body.
Ensure regular quality checks are carried out according to prescribed time frames and criteria.
Review documents for appropriate scanning criteria and ensure that all necessary health/administrative information meeting the criteria is integrated into a computer patient record system.
Perform interface with personal computer (PC) applications, DSS programs as well as numerous VistA applications.
Provide all documents imported from other devices or sources, including pdf, tiff, jpeg files, etc. into the facilities imaging software system.
Utilize a computer to perform a wide variety of i.e. record keeping, correspondence, tracking operations, timely filing, retrieval and/or clerical duties associated with the retention, maintenance, disposition, guardianship and/or control of health records in both terminal digit/alphabetic filing systems.
Protects printed and electronic files containing sensitive data in accordance with the provisions of the Privacy Act of 1974 and other applicable laws, federal regulations, VA statuses and policy, and VHA policy.
Utilize scanning system to input i.e. medical terminology as well as facility-specific terms and abbreviations, within Records Management policies.
Adhere to Joint Commission, VHA directives, VA Medical Center, and/or other applicable policies and procedures concerning health information technology principles, concepts and/or methodologies.
Assure communication with customers (both internal and/or external such as patients, their representatives, staff, and visitors) in a courteous, tactful, and respectful manner.
Promotes a positive image of the Medical Center with emphasis on customer service by treating patients, co-workers, and medical center personnel with courtesy and respect.

GENERAL EXPERIENCE: Applicants must possess one (1) year of general experience that equipped you with the knowledge, skills, and abilities needed to successfully perform the duties of this position. General experience is progressively responsible clerical, office, or other work that indicates ability to acquire the knowledge and skills needed to perform the duties of the position to be filled.

SUBSTITUTION OF EDUCATION FOR EXPERIENCE (Transcripts Required): Successful completion of two (2) years of education above the high school level in any field. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university for which high school graduation or the equivalent is the normal prerequisite. One year of full-time undergraduate study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial or technical school.

COMBINING EDUCATION AND EXPERIENCE (Transcripts Required): Combination of successfully completed post high school education and experience may be used to meet total qualification requirements.

Physical Requirements: The work with computers is mainly sedentary in an office environment. However, paper records retrieval, filing, and management involves long hours of standing, with extensive bending, reaching, lifting, stooping, pulling, and other physical exertion or strain. Some work will be performed in a warehouse setting and requires packing boxes (whose weight will typically exceed 20 pounds) and otherwise preparing records for shipment.
