The Primary Purpose of the Position: To perform a variety of administrative and technical support for the Women Veterans Health Program (WVHP). To ensure continuity and improved coordination of health care and benefits for Women Veterans as they seek and receive services from the VA North Texas Health Care System. The Organizational Location of the Position: Women Veterans Health Program, Chief of Staff Office, VA North Health Care System, Dallas, TX.

Duties

Duties may include but are not limited to: Monitors and maintains a variety of WVHP and customer service data. Gathers, graphs, and analyzes a variety of program and event data. Compiles Women Health Program data from VA and VISN 17 databases. Analyzes data against VHA directives, performance measures, program goals and guidelines. Conducts program surveys and analyzes trends based on expressed needs of Veterans and stakeholders. Prepares reports and recommendations based on the trends analysis. Forwards reports to the supervisor. Prepares, executes, and tracks program specific information, such as congressional inquires, grants, cooperative agreements, and WVHP National office requests/reports. Uses multiple office automation software with varied functions to produce a wide range of documents that often require complex formats, such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases or spreadsheets. Independently plans and performs complex office automation duties requiring different approaches and methods from one assignment to another, such as using different packages to: edit lengthy and complicated reports; collect, select, organize, and provide information; track the status of a number of projects assigned to the organization; and resolve incompatibility problems in transferring text from one software package to another when menu options and specific software instructions are not available. Develops methods and procedures for office automation tasks, and identifies and solves problems in existing methods or procedures. Uses word processing software to create, copy, edit, store, retrieve, and print forms, memos, and letters; uses database or spreadsheet software to create, enter, revise, sort or calculate, and retrieve data for reports; and uses graphic software to provide graphs and charts for reports and presentations. Transmits and receives documents and messages electronically using personal computers or workstations that are networked or linked to other computers or workstations. Plans and recruits participants for Focus Groups and Town Hall meetings. Calls a variety of individuals and groups in the catchment area. Explains the subject or topic of the meeting. Elicits their participation. Makes arrangements for the meeting location and materials needed. Prior to the meeting, sends information on subject, time and location via mail and/or email and placement on web page. Reviews questionnaires, enters data into the automated database(s), analyzes questionnaire data and comments, prepares report and recommendations that will influence programs and event decisions. Gathers and analyzes data from program databases. Presents dashboard data reports determinations such as programs are/are not meeting performance measures and/or on target for meeting outreach goals, etc. Prepares a wide variety of recurring and non-recurring correspondence, reports, and other documents. Composes correspondence such as responses to Congressional, VISN, news media, and/or public interest groups' inquiries. Gathers information from records, files and/or service staff. Prepares agenda for and takes and prepares final minutes at all Women Veteran health Committee Meetings. Proofreads and edits correspondence and documents for correct grammar, spelling, capitalization, punctuation, and format. Performs administrative office support functions. Establishes and maintains the office filing system. Disposes of obsolete or superseded files. Develops, establishes, updates, and maintains office procedures and records/files of various types to ensure effective and efficient operation of the office. Distributes mail and messages. Requisitions office supplies, printing support, and related materials and services. Receives, controls, and safeguards Veterans' files which contain privacy and HIPPA information. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/24/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience, equivalent to at least the GS-06 level in the Federal service, that equipped you with the knowledge, skills, and abilities (KSAs) needed to successfully perform the duties of this position and that is typically in or related to the position being filled. Specialized experience includes: Preparing a wide variety of recurring and nonrecurring correspondence, reports, and other related materials; Review and process incoming and outgoing correspondence, regulations, and directives; Reviews and finalizes correspondence/documents to final draft; Proficient in various office automation software and processing procedures; Receive telephone calls, greet visitors, determine nature of call or visit; Provides customer service to meet the needs of customers constructively and appropriately. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. May require some walking, standing, bending, climbing stairs, and carrying and/or lifting of light items such as papers or books.
