You will serve as a SECRETARY (OFFICE AUTOMATION) in the Command Suite of NAVMEDRSCH UNIT SAN ANTONIO.

Duties

You will provide secretarial support for the Command Suite Commanding Officer, Executive Officer, Chief Science Director and Senior Enlisted Leader, Naval Medical Research Unit San Antonio (NAMRU-SA). You will coordinate the visits of high-ranking government officials, military officers, distinguished scientists, and representatives of foreign governments. You will screen all incoming correspondence for the Command Suite; reply to mail not requiring the attention of the Commanding Officer or Executive Officer; and follow up to ensure action is completed. You will coordinate correspondence, special reports, journals and abstracts with each Directorate within the command and provide guidance on rules and regulations governing correspondence within the org. You will respond to inquiries and administrative problems brought to the Command Suite by members of staff and officials of the Command. You will manage the Officer Evaluation Program and the Enlisted Evaluation Program for NAMRU-SA, including Officers and Enlisted from other military services assigned to NAMRU-SA. You will screen all publications, directives and periodicals and bring significant facts and issues to the Command Suite's attention as well as type, edit and proof correspondence from recordings or based on brief instructions. You will collect, assemble, route and file official documents and coordinate Medical and Dental Officer's Credentials Program. You must have a working knowledge and understanding of the Research and Development and Test and Evaluation enterprise, including budgeting and facilities, and the mgmt of equipment/supplies. You must also have a working knowledge and understanding of the Research and Development and Test and Evaluation enterprise, including contracts (MOU/MOA), CRADA, travel (DTS), and Navy correspondence.

  • You will be required to obtain and maintain an interim and/or final Secret security clearance prior to entrance on duty. Failure to obtain and maintain the required level of clearance may result in the withdrawal of a job offer or removal.
  • This position requires a qualified typist/the ability to type at least 40 words per minute. Your response to the typing skill question on the Occupational Questionnaire will be used in your qualification determination.
  • This position may require other than normal duty hours to include evenings, weekends, and/or holidays.
  • This position requires the ability to discern colors, contrast, and depth.
  • This position may require occasional travel within CONUS for work related training/conferences.

Qualifications

Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-08 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Experience handling customer service and anticipating and meeting the needs of both internal and external customers; Experience performing clerical and administrative support functions for travel management in the application of law, policies, regulations, principles, standards, systems, and procedures (e.g., Joint Travel Regulations, Joint Federal Travel Regulations, the Defense Travel System, Government Travel Charge Card); Experience working with office automation hardware and software systems combined with the typing skills of a fully qualified typist to use computers or related data processing technology to perform routine clerical work (e.g., writing, filing, distributing documents) where the primary purpose is to provide general office clerical support; Experience with software to include, but not limited to, Microsoft Office 365 (Outlook, Teams, PowerPoint, Word, Excel, SharePoint, etc.), and other software applications (such as Navy Enterprise Resource Planning (N-ERP), Total Workforce Management Services (TWMS), BUPERS Online (BOL), NAVFIT98, eNAVFIT, etc); and Experience performing clerical work such as preparing, receiving, reviewing, and verifying documents; maintaining office records; locating and compiling data or information from files; compiling information for reports; keeping a calendar and informing others of deadlines and other important dates; and similar clerical support work within an organization.
