You will serve as a ADMINISTRATIVE SUPPORT ASSISTANT (OA) in the Deputy Supply Office (Code 501), Supply Department (Code 500), of NORFOLK NAVAL SHIPYARD.

Duties

You will obtain information orally from several sources and is organized for the Deputy, Supply Department. You will review incoming mail addressed to the Supply Department and determines what requires their personal attention and routes mail to the appropriate destination. You will compose routine correspondence of an administrative nature determining the need for this correspondence by reviewing mail. You will return inadequate or incorrect correspondence or reports for revision before submission for signature. You will independently research, gather, analyze, and consolidate data for both recurring and special reports. You will prepare narratives, charts, graphs, and handouts for briefings and presentations, and assists with presentations. You will coordinate the Supply Department Office services such as telephones, office equipment, supplies, office space, printing, publications, files, forms control, copy machines, mail, and messenger services. You will establish database accesses and inputs information from various sources, as required for reports. You will ensure travel requests for Supply Department personnel are processed and sent to the travel office and make all travel arrangements.

  • Within the Department of Defense (DoD), the appointment of retired military members within 180 days immediately following retirement date to a civilian position is subject to the provisions of 5 United States Code 3326.

  • This position is eligible for part time, substantial or ad-hoc telework at the discretion of management.
  • This is a bargaining unit position.
  • You will be required to obtain and maintain an interim and/or final security clearance prior to entrance on duty. Failure to obtain and maintain the required level of clearance may result in the withdrawal of a job offer or removal.
  • You will be required to wear personal protective equipment such as helmets, gloves, coveralls, glasses, goggles, respirators and safety shoes continuously for the duration of the work shift.
  • Work is performed in areas where potentially harmful physical and chemical agents are present (e.g. fumes, dust, heat, ionizing and non-ionizing radiation and chemicals). You will be required to participate in medical surveillance programs.
  • This position may require travel from normal duty station to CONUS and OCONUS and may include remote or isolated sites. You must be able to travel on military and commercial aircraft for extended periods of time.

Qualifications

Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-06 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Experience in a wide variety of practical and technical aspects of office administration which may include obtaining funds, reporting requirements and systems, personnel policies and issues, procurement of office equipment, and office automated information systems. Experience coordinating conferences, making arrangements for space, notify attendees, and receive visitors. Experience preparing written correspondence, narratives, charts, and graphs for briefings and presentations with proficiency in MS Office programs (Outlook, Excel, etc.) Experience reviewing incoming and outgoing mail, correspondences, and publications and determines items needing Department Head and/or Deputy's attention. Experience making travel arrangements for personnel utilizing the Defense Travel System (DTS) or similar systems. This position requires the ability to type at least 40 words per minute.
