The Battle Creek VA Medical Center is recruiting for a Program Support Assistant for Extended Care Service (ECS). The Program Support Assistant will function as administrative support on ECS Community Living Center Units.
Duties
**This not a virtual position, you must live within or be willing to relocate within a commutable distance of the duty location**
The primary duties include:
Works collaboratively in an interdisciplinary coordinated care delivery model and performs unit clerk duties, customer service and other duties assigned for the proper and timely treatment of veterans in Extended Care wards.
Provides administrative support for units by providing general clerical support and uses sound judgement in prioritizing tasks according to urgency.
Acts as receptionist on unit receiving incoming calls and greeting patients, staff, family visitors, and others.
Coordinates administrative services for Veterans, family members, caregivers, and public, administrative, and nursing staff to ensure continuity of inpatient care.
Resolve minor problems independently through the use of appropriate guideline.
Provide excellent customer service to all internal and external customers.
Utilize electronic work orders software for area maintenance.
Organize medical charts, maintain files and office records.
Setup telephone conferences for guardian or family members to attended treatment team meetings for residents of the Community Living Center.
Has ability to apply policies and procedures associated with operational activities in inpatient care area.
Provides administrative support to one or more units to effectively conduct day-to-day administrative operations using computer software applications such as Microsoft Office (Word, Excel, and Outlook).
Responsible for accurate appointment scheduling using CPRS/VISTA for Community Living Center residents, and the coordination of all administrative information between the nursing staff and the patient. This includes updating and verifying demographic information, canceling/scheduling appropriate patient appointment, data entry, and notifying nursing staff of patient scheduled appointment
Review patient medical and administrative records for specific information (e.g., diseases, diagnosis) related to inpatient stay.
Review incoming mail, delivers mail, and prepares correspondence.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/30/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a position GS-5 you must have served 52 weeks at the GS-4. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Providing general clerical administrative clerical administrative support and uses sound judgement in prioritizing tasks according to urgency; Act as receptionist on a medical unit, receiving incoming calls and greeting patients, staff, family, visitors and others; Schedule, cancel, and re-schedule appointments of residents and monitors appointments in accordance with current guidelines; Demonstrates excellent customer service to all internal and external customers.
