Duties

This position is located within the Department of the Interior, Secretarial Correspondence Unit of the Office of Executive Secretariat and Regulatory Affairs (OES), which is located within the Immediate Office of the Secretary, in Washington, D.C. At the full performance level (GS-13) the major duties of this position include, but are not limited to, the following: 1. Serves as the technical expert on all matters pertaining to recording, tasking, assigning, tracking, reviewing, formatting, coordinating, and managing all Secretarial correspondence products directed to, or signed by, a Secretarial Executive--the Secretary of the Interior, the Deputy Secretary of the Interior, the Associate Deputy Secretary of the Interior, the Department's Chief of Staff, the Department's Deputy Chief of Staff-Policy, and the Department's Deputy Chief of Staff-Operations. 2. Plans, organizes, and oversees Secretarial correspondence projects and initiatives that are aimed at achieving and improving the quality, efficiency, and effectiveness of the Secretarial Correspondence Unit, including coordinating activities across organizational lines, identifying and resolving problems that are barriers to achieving goals, and implementing corrective actions as necessary. 3. Serves as a liaison with Bureau/Office Correspondence Managers and supports the Deputy Director-Secretarial Correspondence Management to ensure the Secretarial Correspondence Unit fulfills the mandates outlined in the Departmental Manual. 4. Ensures compliance with good writing practices and conformance with established operational protocols, policies, and guidelines for correspondence signed by Secretarial Executives, including conformance with prescribed formats and Cabinet-level correspondence standards as outlined by the Secretarial Correspondence Handbook, the Government Publishing Office Style Manual, and other applicable style guides. 5. Evaluates the content, format, and organization of draft correspondence that is to be signed by a Secretarial Executive. Utilizing word processing applications, reworks draft products to make them more understandable and easier to read. 6. Manages common stakeholder issues in executing Secretarial correspondence projects in order to reduce issues and disruption, including intentionally and clearly communicating to provide awareness of and overcome challenges affecting projects. 7. Identifies and helps resolve misunderstandings or conflicts between Bureaus/Offices concerning a wide range of Secretarial correspondence products signed by Secretarial Executives. Salary Range Information: GS-12: $99,200 - $128,956 GS-13: $117,962 - $153,354 First time hires to the federal government typically start at the beginning salary in the range for their respective grade level. This vacancy may be used to fill additional positions as vacancies become available.

Minimum Qualification Requirements: To qualify for this position, you must meet the Specialized Experience for the series to which you are applying. To qualify for the GS-12, you must possess at least one full year of specialized experience equivalent to at least the GS-11 grade level in the Federal service, or comparable experience not gained through Federal service. Specialized experience is experience that equipped the applicant with the particular knowledge, skills, and abilities to successfully perform the duties of the position, and that is typically in or related to the work of the position to be filled. Specialized experience is defined as demonstrated experience: 1. Communicating clearly, succinctly, and directly, both verbally and in writing, to achieve Secretarial correspondence goals and objectives; 2. Coordinating with, and gathering information from, stakeholders to achieve intended outcomes; 3. Managing deadlines, risks, constraints, and stakeholder needs, while effectively addressing challenges and completing products in a timely manner; 4. Applying proper grammar, sentence structure, and syntax using Federal and Departmental style guidelines to the process of writing, reviewing, and editing of Secretarial correspondence products; and, 5. Implementing Secretarial correspondence control, tracking, management protocols, including inputting Secretarial correspondence into a correspondence management system. Implementing Secretarial correspondence control, tracking, and management protocols, procedures, and practices associated with a correspondence control system; and, 6. Applying appropriate protocols, policies, and procedures throughout the lifecycle of projects using project management principles, tools, and techniques that are based on the needs of the situation.
