As an Administrative Specialist supporting the NASA Engineering & Safety Center's Integration Office (NIO), you will provide administrative assistance to executives within the office, support to a decentralized organization reaching across all NASA Centers, and report to the NASA Engineering & Safety Center (NESC) office at NASA Langley Research Center. You will provide assistance to the management to identify, evaluate, and resolve administrative issues.
Duties
Exercise exclusive control over the NIO Manager’s calendars, with complete authority for time commitments; secures representation by another NESC official when appropriate.
Apply judgment, logical thinking, discretion and knowledge of policies and procedures such as administration, travel, security, records management, equipment, information technology, procurement, safety, and logistics.
Draft correspondence, recommendations, reports, and memoranda related to management and administrative concerns. Maintain various databases and spreadsheets as required to track progress or status of items of interest to management and staff.
Provide assistance during meetings, workshops and events with audio/video conferencing equipment and services and take minutes of meetings as requested.
Maintain effective communication with senior level staff to keep abreast of pending deadlines. Provide effective, efficient, and technically sound administrative support services to senior level staff by performing a variety of support service.
Apply existing/new policies, provide advice on requirements, maintain databases that reflect the fulfillment and/or status of administrative requirements, and prepare administrative paperwork and travel authorizations for senior executives.
Serve as the NESC End User Services Office (EUSO) point of contact responsible for submitting orders for IT equipment, IT changes, moves, unsubscribes, and updates through the Enterprise Service Desk portal.
Provide a positive customer service experience to all customers and coordinate with individuals in and outside of the organization, across Center Directorates and with individuals outside the Center in order to coordinate work efforts.

Qualifications
Specialized experience is experience that has equipped you with the particular ability, skill, and knowledge to successfully perform the duties of this position and is typically in or related to this line of work.
To qualify for GS-09 level, you must have:
a) One year of directly related specialized experience equivalent to the GS-07 level:
Utilizing organization procedures and standards to complete work assignments and to support management and staff to plan, coordinate, organize, or execute administrative tasks;
Assisting with administrative functions such as maintaining or updating calendars, travel arrangements, and organizing meetings; and
Utilizing collaborative tools (MS Teams, SharePoint, etc.) to share and manage administrative information to ensure clear communication and coordination.
OR
b) Completed all requirements for a master's or equivalent graduate degree in an appropriate field
OR
c) Completed 2 full academic years of progressively higher-level graduate education leading to a master's degree or equivalent graduate degree in an appropriate field
OR
d) LL. B or J.D, if related
OR
e) Have an equivalent combination of experience and graduate study as discussed in a), b), c) and d) above
